Are you fluent in both Japanese and English and passionate about supporting executives, HR initiatives, and international employee experience? Our client is seeking a Bilingual Executive Assistant to play a critical role supporting senior leadership and Human Resources
This is a unique opportunity to combine executive support, HR administration, and global mobility coordination while serving as a key point of contact for expatriate employees and company leadership.
What You'll Do
- Provide high-level administrative support to the company President and senior leadership team
- Coordinate onboarding and relocation support for Japanese expatriates arriving in the United States
- Partner with HR teams to manage expatriate assignments, personnel changes, and assignment transitions
- Guide expatriates through onboarding processes, including employment documentation, benefits enrollment, and orientation
- Assist with critical life-transition services such as:
- Social Security applications
- Banking setup
- Housing and utilities coordination
- Insurance enrollment
- Driver's license applications
- Moving logistics
- Serve as the primary point of contact for expatriate HR and benefits-related questions
- Maintain personnel and immigration records while ensuring HR systems remain accurate and up to date
- Support immigration processes for employees across North America, including visa applications, renewals, permanent residency matters, business travel, and international assignments
- Coordinate relocation assistance for visitors and employees from the Japan headquarters
- Process requests and approvals related to expatriate benefits and support programs
- Assist employees returning to Japan with relocation coordination and account closures
- Manage company pool vehicle records, inspections, servicing, and maintenance coordination
Required Qualifications
- 3-5 years of administrative, executive assistant, or HR experience
- Fluent in both Japanese and English (written and verbal)
- Experience using Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
Preferred Qualifications
- Experience onboarding employees relocating from outside of the United States
- Experience supporting C-suite executives or senior leadership
- Experience with immigration, visa, or global mobility processes
