Job Description

The Administrative Assistant II is an experienced administrative support professional who provides a wide range of services including budget management, record keeping, and reports related to operations and personnel. She/he may serve as a liaison with purchasing, human resources, facilities, and operations.

Responsibilities
  • Research, compile, and analyze information for reports; prepare statistical data
  • Monitor budgets, grant allocations, and maintain accruals; prepare financial documents
  • Maintain employee files, ensure regulatory compliance, handle HR and payroll transactions, and coordinate with HR and payroll
  • Assist in planning and coordinating forums, conferences, seminars, and meetings; prepare informational packets; transcribe minutes
  • Resolve administrative or operational issues affecting the work unit
  • Review materials submitted for supervisor’s attention for completeness and accuracy
  • Manage supplies inventory, coordinate procurement, and track vendor contracts
  • Act as liaison with other departments and external parties for projects and objectives
  • Participate in grant applications, survey preparations, and special projects
  • Arrange travel, prepare reimbursements, and manage expense reports
  • Screen and prioritize mail, respond or distribute as needed
  • Screen and direct telephone inquiries; schedule patient appointments and referrals; manage billing records
  • Perform other related duties as assigned
