Job Description

The Administrative Assistant II is an experienced administrative support person who provides a wide variety of administrative support services, including budget preparation and control activities, recordkeeping, and generating reports regarding operations and personnel matters. She/he may serve as an administrative liaison with other departments related to purchasing, human resources, facilities, and operations.

Responsibilities
  1. Research, locate, and compile information for reports; assemble and categorize figures for calculations; prepare statistical reports.
  2. Prepare and monitor budgets and grant allocations; maintain accruals; prepare documents for balanced accounts review and approval.
  3. Maintain departmental employee files; ensure compliance with standards; initiate and follow up on HR and payroll transactions; generate weekly payroll submissions; coordinate with HR and payroll.
  4. Assist in planning and logistical arrangements for forums, conferences, seminars, meetings, and visiting professorships; develop informational packets; transcribe and distribute minutes.
  5. Investigate, evaluate, and resolve administrative or operational issues affecting the work unit.
  6. Review materials submitted for supervisors' attention to ensure completeness.
  7. Ensure adequate supplies; manage inventory; reorder supplies; collaborate with Purchasing for procurement; track vendor contracts and renew as needed.
  8. Serve as liaison with other departments or external parties to accomplish objectives or complete projects.
  9. Participate in grant applications, special projects, and survey preparations.
  10. Make travel arrangements; prepare reimbursements and expense reports.
  11. Screen and prioritize incoming mail; respond or distribute appropriately.
  12. Screen and schedule patient appointments; manage referrals and patient billing records.
  13. Perform other related duties as required.
Qualifications
  • Associates degree or equivalent experience; Bachelors preferred.
  • 4+ years of related administrative or business experience.
