We are hiring an Administrative Assistant II for one of our clients in Newark, NJ.
Job Description
- Assist in the application process, including review of statements of experience, criminal history documents, CPE related information for reinstatement applications and renewals.
- Process applications for initial CPA licensure, CPA firm registrations, Court Reporting initial applications, CPE sponsor applications for accountancy and court reporting Boards, non-registered sponsor course applications, CPE credits for teaching, and reinstatements for all licensure types across mentioned Boards.
- Manage complaint processes, including entering data into MLO, tracking until closure, sending acknowledgment and response letters, and compiling information for Board meetings.
- Attend Board meetings, take notes, prepare agendas, minutes, and draft follow-up correspondence.
- Participate in sub-committee meetings, record notes, and draft follow-up communications.
- Perform data entry tasks, such as updating official name and address changes for all licensure types.
- Assist in proctoring the RMA exam as needed.
- Review and track CPE requests for non-registered sponsors, prepare materials for review, and draft correspondence.
- Support the triennial CPE random audit process.
- Assist the call center with applicant inquiries via phone and email, including managing escalated call reports.
Experience
- Proficiency in Microsoft Office, including Outlook and Excel.
- Excellent customer service and general administrative skills such as data entry, communication, and phone etiquette.
Skills
- Strong administrative and communication skills.
- Experience with electronic databases and written correspondence.
- Attention to detail and understanding of privacy and confidentiality.
- Customer service skills, both face-to-face and electronic.
- Proficiency with Microsoft Office Outlook, Calendar, and Teams.
- Ability to follow processes within set timeframes, multitask, and manage time effectively.
- Ability to work independently and collaboratively, taking guidance from colleagues and supervisors.
Working Hours
- 7 hours within the core work hours of 7 AM to 5 PM.
- Unpaid lunch period: 30 minutes to 1 hour.
