Qualifications

  • 1–3 years of experience in front-desk administration, customer service, or junior executive support.
  • Exceptional verbal and written communication skills with a polished, professional demeanor.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Strong ability to multitask, prioritize competing requests, and maintain strict confidentiality regarding executive matters.

Responsibilities

  • Reception & Front Office Duties: Greet clients, visitors, and vendors professionally and create a welcoming environment.
  • Communications: Answer, screen, and direct incoming emails and visitor requests.
  • Mail & Deliveries: Receive, sort, and distribute daily mail and courier shipments; manage outgoing packages.
  • Facility Presentation: Maintain tidy, stocked reception and lobby areas.
  • Security: Monitor visitor access, issue badges, and follow building safety protocols.
  • Calendar Management: Maintain complex executive calendars and coordinate appointments.
  • Travel Coordination: Arrange domestic and international travel and accommodations.
  • Meeting Preparation: Reserve conference rooms, set up boardrooms, and provide materials and refreshments.
  • Cross-Functional Support: Back up other staff and handle ad-hoc projects as needed.
