Job summary

Noorda College of Osteopathic Medicine is seeking an Administrative Assistant for Academic Success to provide administrative, operational and program support for the Academic Success department. The role helps create a welcoming, student-centered environment while supporting data management and team projects.

The ideal candidate is organized, proactive, collaborative, and committed to helping students and colleagues succeed.

Qualifications

  • Associates degree or equivalent combination of education and experience.
  • Two to five years of administrative experience.
  • Strong organization, scheduling, prioritization, communication, and follow-through skills.
  • Proficiency with Microsoft 365 applications (Word, Excel, PowerPoint, Outlook, Teams, Forms, OneNote).
  • Demonstrated initiative, proactive problem-solving, and ability to manage multiple deadlines.

Responsibilities

  • Serve as first point of contact for students visiting the Academic Success and Academic Affairs office.
  • Assist with check-in for student appointments and connect students to appropriate support.
  • Support Academic Success projects and resources development/maintenance.
  • Maintain departmental data in institutional databases and monitor the inbox.
  • Prepare meeting materials, take notes, track actions, coordinate travel and development logistics, support hiring and recruitment activities.
  • Assist with purchasing, invoicing, supplies, room reservations, and other operational needs.

Job description

The position helps create a welcoming, student-centered environment while supporting departmental operations, student success initiatives, data management, and team projects. The ideal candidate is organized, proactive, collaborative, and committed to creating a positive, student-centered experience, and helping students and colleagues succeed.

What You’ll Do
  • Serve as a first point ofcontact for students visiting the Academic Success and Academic Affairs office while helping maintain a welcoming and professional office environment.
  • Assist with check-in for student appointments and connect students to other departments as needed for appropriate support.

  • High level of professionalism, integrity, discretion, sound judgement, and ability to maintain confidentiality.
Preferred Qualifications
  • Bachelor’s degree.
  • Experience supporting a department, program, or team.
  • Experience in higher education or medical education.
  • Smartsheet experience.

Pay & Benefits
  • Competitive salary range of $45,000 to $50,000 commensurate with experience and education
    • All offers of employment are contingent upon successful completion of a background check and verification of applicable credentials and licensure.
