Job summary

University Orthopedics is seeking an Administrative Office Assistant (Float) to support multiple physician offices across our locations. The role requires exceptional people skills and the ability to adapt to varying hours and sites while maintaining a professional and friendly demeanor.

You will provide float coverage at front desk, schedule appointments, tests, referrals and surgeries, verify insurance benefits, collect co-pays, and ensure accurate patient information and paperwork for

Qualifications

  • High School education or equivalent.
  • Prior medical office experience preferred.
  • Ability to travel to all UOI sites.
  • Proficient in Microsoft Office and Outlook.
  • Strong organizational and multitasking abilities.
  • Professional, pleasant demeanor with excellent telephone etiquette.
  • Detail oriented with a team attitude.
  • Excellent interpersonal communication.

Responsibilities

  • Provide float coverage for various physician offices.
  • Schedule follow-up appointments, tests, referrals, and surgeries.
  • Provide float coverage for front desk and secretarial duties.
  • Answer and return phone calls; communicate with insurance companies.
  • Coordinate scheduling, preoperative testing, and education for patients.
  • Register patients and update demographics.
  • Ensure all paperwork is completed before scheduling procedures.
  • Provide correct codes and patient information to OR booking offices.
  • Coordinate number and length of cases per OR session.
  • Assist in scheduling, check insurance benefits, and collect co-pays.
  • Sort mail/faxes and direct to appropriate sources.
  • Answer and triage patient phone calls.
  • Additional duties as assigned by the Manager.

Administrative Office Assistant (Float)

Reports to:

Administrative Manager

General Summary Of Duties

Hours and locations will vary depending on the needs of the company. The work in this position contributes to the patient’s overall successful interaction within the office. Exceptional people skills are needed.

Essential Job Functions
  • Provide float coverage for various physician offices
  • Schedule patient follow up appointments when necessary
  • Schedule tests, referrals, and surgeries
  • Provide float coverage for front desk reception and secretarial duties
  • Answer and return phone calls; communicate with insurance companies
  • Contact patients for scheduling, review of history and medications to determine and discuss any required preoperative testing or education.
  • Register patients and update patient demographics
  • Ensure that all appropriate paperwork is completed prior to scheduling procedure
  • Ensure correct codes and patient information is provided to OR booking offices
  • Appropriately coordinates number and length of cases booked per OR session
  • Assists in scheduling patients, check patient’s insurance benefits and collect co-payments
  • Sorting mail/packages presented to front desk and directing to appropriate source; dispersing any incoming faxes to the appropriate source.
  • Answer and triage patient phone calls
  • Additional duties as assigned by the Manager to meet department needs .
Requirements
  • High School education or equivalent
  • Prior medical experience preferred
  • Must be able to travel to all UOI sites
  • Good computer skills including Microsoft office and outlook
  • Efficiently assist in the coordination of a busy office, including use of email, document scanning, and word processing
  • Ability to be professional, pleasant, cheerful, and enthusiastic demeanor
  • Ability to pay attention to detail
  • Excellent interpersonal skills including telephone etiquette
  • Motivated individual with a team approach
  • Must be able to travel to all sites if/when necessary .
