HABERSHAM COUNTY SCHOOL DISTRICT is seeking an Administrative Assistant for Federal Programs located at the Student Services Center. This classified position supports the Director of Federal Programs and coordinates data, audits, and travel for trainings and conferences.

The role requires strong communication, typing, and computer skills, plus proficiency with Power School and Ellevation. This position supports multiple priority tasks while upholding district policies and confidentiality in

Qualifications

  • Education: High School Diploma or GED.
  • Experience: Proficiency in computer applications including spreadsheet, database and word processing.
  • Skills, Knowledge, and Abilities: Written and oral communication, ability to operate office machinery, typing and proofreading, cooperative attitude, accounting skills.

Responsibilities

  • Perform basic office tasks including keyboarding, copying, mass mailing, and filing, using Microsoft Word, Excel, and PowerPoint; experience with Power School and Ellevation.
  • Assist in the analysis and management of student and school data.
  • Assist the organization and development of program audit and monitoring visits.
  • Coordinate data collections required by State Department of Education and assure deadlines are met.
  • Create and compile online surveys as requested.
  • Analyze financial data, reconcile accounts, and prepare reports.
  • Prepare and maintain time and effort files, documentation and logs.
  • Complete requisition requests and purchase orders.
  • Obtain quotes, order merchandise, ensure delivery, compile billing documents.
  • Compile and maintain Federal Programs inventories.
  • Arrange travel for various Federal Programs trainings and conferences.
  • Participate in training, workshops, and in-service programs.
  • Follow district policies, procedures and safety practices.
  • Interact effectively with students, parents, staff, and administration; maintain confidentiality.

Job description

Title: Administrative Assistant / Federal Programs
Reports to: Director of Federal Programs
Location: Student Services Center
Position: Classified
Contract Days: 261 Days
Retirement: TRS
FLSA Status: Non-Exempt
Pay Scale: Support Staff A (A10)
Minimum Requirements

Education: High School Diploma or GED

Experience: A reasonable degree of proficiency in computer applications including spreadsheet, data base and word processing. Working knowledge of basic office procedures and the operation of common office equipment and machines.

Skills, Knowledge, and Abilities: Written and oral communication skills; ability to operate office machinery and deal with multiple tasks; computer competence; typing and proof reading skills; pleasant personality;cooperative attitude; skills in accounting.

Primary Function: To perform responsibilities of the Federal Programs department and maintain a good working relationship with the Board of Education, all school personnel and the general public.

Performance Responsibilities

  • Perform multiple tasks simultaneously, including handling interruptions, and return to and complete tasks in a timely manner
  • Perform time management and scheduling functions, meet deadlines, and set task priorities
  • Work independently and with a team to maintain a clean, appropriate, and friendly work environment
  • Interact with students, parents, staff, faculty, and administration effectively and professionally
  • Follow oral and written instructions and observe District, State, and federal policies and procedures.
  • Follow all Board-approved policies, safety rules, and regulations
  • Attend in-services and training sessions
  • Respect and practice confidentiality both in and out of school with regard to records, activities, and communications relating to all students, parents/guardians, and staff.
  • Performs other duties as assigned by the Federal Programs

  • Performance of this job will be evaluated annually in accordance with provisions of the HCSS Board of Control's policy on Personnel Evaluations.
