Job summary

The Illinois Association of School Administrators offers an Administrative Assistant role to support the Principal and district staff in daily office operations, communications, and records management.

You will manage calendars, greet visitors, maintain confidential files, process purchases and reimbursements, and assist with student registrations and attendance in a ten-month school-year framework.

Qualifications

  • Computer skills including word processing, database and spreadsheet, inventory, general record keeping, event coordination, organizational skills, communication skills, positive interpersonal skills.

Responsibilities

  • Manage office-related duties under the Principal's authority and coordinate office activities.
  • Handle routine issues and emergencies concerning employees and students, making decisions independently or with colleagues.
  • Compile information and prepare and maintain a variety of records and reports related to assigned activities.
  • Input information into an assigned system and ensure data accuracy.
  • Maintain confidentiality of school operations including sensitive/personal information.
  • Perform a wide variety of secretarial tasks including typing, proofreading, filing, and processing correspondence.
  • Oversee and assist with Student Registration and attendance.
  • Support daily functions of the School.
  • Greet visitors and provide information to parents and the public; screen calls for administrators and staff.
  • Maintain confidential files including student, personnel and payroll records.
  • Perform assigned financial duties and maintain budgets and site accounts.
  • Prepare and submit purchase orders and reimbursements; handle deposits per procedures.
  • Update calendars and arrange appointments, meetings, and visits.
  • Assist with planning events and field trips; arrange travel for staff.
  • Answer queries and resolve situations per policies and district rules.
  • Perform other tasks as assigned.

Performance Responsibilities
  • performs diverse office-related managerial responsibilities within areas and limits of authority as delegated by the Principal; coordinates and organizes office activities and coordinates flow of communications and information for the Principal.
  • Handles routine issues and emergencies concerning employees and students, makes decisions independently or collaboratively and recommends action as appropriate.
  • Compiles information and prepares and maintains a variety of records and reports related to assigned activities.
  • Inputs a variety of information into an assigned system; assures accuracy of input and output data.
  • Maintains confidentiality of various aspects of school operation including sensitive and personal information.
  • Performs a wide variety of secretarial work, including typing and word processing, proofreading, filing, recording information and processing and distribution of correspondence.
  • Oversee and assist with Student Registration
  • Maintain and oversee staff and student attendance
  • Support the daily functions of the School.
  • Receives and greets visitors and provides information to parents and the public; screens correspondence and telephone calls for administrator and staff.
  • Establishes, maintains and assures proper use of confidential files including student, personnel and payroll records.
  • Performs assigned financial duties and maintains assigned financial records, school budgets and site accounts.
  • Prepares and submits purchase orders and work orders as assigned; prepares reimbursement requests and deposits according to established procedures
  • Updates and maintains multiple calendars as assigned; organizes appointments and meetings and makes arrangements for school visitations and facility use.
  • Assists with planning school events and field trips as needed; arranges travel for assigned personnel as required.
  • Answers questions and resolves situations involving students, parents, public, location staff and District personnel through knowledge of school policies and general District rules and regulations.
  • Perform other tasks as assigned.
Qualifications

Salary/Benefits

In accordance with the salary schedule for support service personnel as approved by the Board of Education.

Additional Notes

TERMS OF EMPLOYMENT: Ten-month year

JOB GOAL: To contribute to the efficient operations of the school in order to effectively execute the District 100 Vision

EVALUATION: Performance of this job will be evaluated in accordance with provisions of the Board’s policy on Evaluation of Professional Personnel
