Job Description

Reporting directly to the Company Local Purveyor, Admin Assistant will perform routine clerical and administrative functions such as AR/AP, invoices, organizing and maintaining paper and electronic files, and coordination of corporate scheduling requests for training. He/she must be able to work with minimal supervision, be highly self-motivated, and display professional maturity when dealing with company-related materials. He/she must possess a demonstrated ability to manage and balance workloads and prioritize tasks and projects in a fast-paced environment while handling multiple and competing priorities.

  • Coordinating and communicating schedule requests from the corporate office
  • Timekeeping and adjustments
  • Team expense reports and submissions
  • Third-party auditing software tracking/compliance for daily operations, specifically GoSpotCheck
  • Maintaining a calendar of events for route operations
  • Assisting with a schedule of the route purveyor
  • Inventory office supplies, haberdashery ordering
  • Printing/Ordering program materials for customers/team as needed, for ship or pick up
  • Assisting in organizing team and store communications on bi-weekly initiatives
  • Sending/receiving mail
  • Researching new customers
  • Researching professional services/vendors to solicit quotes and information

Education And Experience
  • High School diploma plus additional specialized training in general administrative practices.
  • One (1) to three (3) years related experience.
  • Must be proficient in MS Office applications, specifically Word and Excel, and knowledge of PowerPoint applications.
  • Strong communication and customer service skills.
  • Ability to use a printer/scanner with proficiency
  • Polite and pleasant communication with customers and teams via phone and email
  • Strong organizational skills, with physical files and digital content
  • Process-oriented
  • Discretion of sensitive information being processed with the team and customers
