Job summary

Brain Injury Solutions in Roanoke, VA is seeking an Administrative Assistant to support daily operations, greet visitors, manage phones, and handle office tasks from 8:30am-4:30pm, Monday–Friday. This non-profit role requires strong organization and customer service in a small team setting.

The successful candidate will maintain filing systems, assist with program documentation, and help with onboarding, reports, and events.

Qualifications

  • High school diploma or equivalent is required.
  • Strong Microsoft Office skills and ability to learn new systems.
  • Excellent written and verbal communication.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize multiple tasks and work independently.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Valid driver's license and satisfactory driving record.
  • Current Virginia Notary Commission.
  • Current CPR/First Aid certification (or willingness to obtain).

Responsibilities

  • Answer and direct incoming phone calls.
  • Welcome visitors, clients, and community partners.
  • Respond to general inquiries and provide referrals.
  • Maintain organized electronic and physical filing systems.
  • Enter and manage data in spreadsheets, databases, and tracking systems.
  • Support program staff with client files, reports, forms, and documentation.
  • Handle incoming and outgoing mail and shipments.
  • Perform occasional errands, including post office runs and supply pickups.
  • Monitor office supply inventory and coordinate orders.
  • Assist with administrative and program documentation.
  • Request, track, and maintain authorized medical records and related documentation.
  • Support leadership and staff with reports, packets, and special projects.
  • Provide assistance with new hire/board member onboarding activities, trainings, meetings, and agency events.

FLSA Status: Non-Exempt

Employment Status: Full-Time

Salary Range: $40,000-42,000

Location: On-site at 3904 Franklin Rd. Suite B Roanoke, VA 24014

Join Our Team:

Brain Injury Solutions is seeking a professional, organized, adaptable, and detail-oriented Administrative Assistant to support the daily operations of our nonprofit organization during the hours of 8:30am-4:30pm, Monday-Friday. This role is ideal for someone who enjoys helping others, managing multiple priorities, and serving as a welcoming first point of contact for clients, visitors, and staff. The Administrative Assistant plays a key role in supporting agency programs, office operations, and administrative functions that help advance our mission.

What You'll Do:
Front Office & Reception:
  • Answer and direct incoming phone calls.
  • Welcome visitors, clients, and community partners.
  • Respond to general inquiries and provide appropriate referrals.
  • Maintain a professional and welcoming office environment.
Administrative Support:
  • Prepare, proofread, and distribute correspondence and documents.
  • Maintain organized electronic and physical filing systems.
  • Enter and manage data in spreadsheets, databases, and tracking systems.
  • Support program staff with client files, reports, forms, and documentation.
  • Handle incoming and outgoing mail and shipments.
  • Perform occasional errands, including post office runs and supply pickups.
  • Monitor office supply inventory and coordinate orders.
Program & Compliance Support:
  • Assist with administrative and program documentation.
  • Request, track, and maintain authorized medical records and related documentation.
  • Support leadership and staff with reports, packets, and special projects.

What We're Looking For:
Required Qualifications:
  • High school diploma or equivalent.
  • Strong computer skills, including proficiency with Microsoft Office and the ability to learn new systems as applicable.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize multiple tasks and work independently.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Valid driver's license with satisfactory driving record.
  • Current Virginia Notary Commission.
  • Current CPR/First Aid certification (or the willingness to obtain certification at the agency's expense).
Preferred Qualifications:
  • Experience in an administrative, clerical, or office support role.
  • Experience working in a nonprofit, healthcare, human services, or community-based setting.
  • Customer service mindset with a positive and professional attitude.
  • Ability to work collaboratively in a team-oriented environment.
Physical Requirements:
  • Ability to perform office-related tasks, including sitting, standing, walking, and reaching.
  • Ability to travel as needed, including to staff meetings in Wytheville every quarter.
  • Ability to lift and/or move up to 50 pounds with or without reasonable accommodation.
