Position Summary:
The Workplace Services Representative provides front-desk, administrative, coordination, and operational support for Workplace Services, Global Mobility, and Real Estate teams.
Beginning December 1, 2026, the role will transition from primarily receptionist-based responsibilities to primarily administrative support following the office move to Duluth, MN. The position will continue to provide front-desk and receptionist coverage as needed while taking on expanded administrative, coordination, and operational responsibilities.
Responsibilities:
- Manage visitors.
- Create photo ID badges and upload pictures to Workday.
- Process name plate requests and enter location information in Workday.
- Action invoices and ServiceNow tickets for Workplace Services.
- Perform Elink, SharePoint, ServiceNow, and email response activities.
- Serve as a liaison for large moves, weekly moves, additions, and changes.
- Assist the Real Estate and Workplace Services departments with administrative activities such as room bookings, catering requests, and stationery supply orders.
- Provide back-up coverage for other Workplace Services team members.
- Participate in projects such as Environment Health & Safety initiatives, sustainability programs, and other facility-related projects.
- Handle difficult situations and clients in a calm and professional manner.
- Crostrain with other Navigators and Workplace Services Coordinators.
- Support parking management.
- Support access card management.
- Perform Gatekeeper responsibilities by courteously screening visitors and callers to protect office staff from external threats and maintain confidentiality.
- Perform ad hoc duties as required by the Supervisor/Team Lead Workplace Services, including business card reviews and approvals, Iron Mountain liaison activities, drafting template communications, and entering work orders.
Required Qualifications:
- 1–3 years of experience in an office administration or customer service role.
- Ability to manage and prioritize across multiple areas and issues.
- High energy and enthusiasm with a desire to provide an exceptional customer service experience.
- Demonstrated problem-solving skills.
- Proficiency in Microsoft Office Suite, including Word and Excel.
- Ability to create innovative and effective solutions to challenges.
- Ability to maintain the integrity of the company brand and protect the company’s reputation when interacting with guests, employees, and contractors.
- Keen attention to detail.
- Ability to maintain confidentiality at all times.
- Strong written and verbal communication skills, both in person and over the telephone.
