Responsibilities

  • Serve as the first point of contact for visitors, employees, contractors, and vendors.
  • Answer, screen, and direct incoming calls.
  • Coordinate visitor management and maintain records.
  • Create and issue photo IDs and upload photos into Workday.
  • Process nameplate requests and maintain employee location in Workday.
  • Manage parking assignments and access card administration.
  • Review, submit, and track Workplace Services invoices.
  • Create and monitor ServiceNow tickets and work orders.
  • Support daily operations via email, SharePoint, ServiceNow, and related systems.
  • Coordinate with vendors for office operations.
  • Assist with office moves, seating changes, and reconfigurations.
  • Assist meeting room bookings, catering, and office supplies.

Administrative Assistant

Raise is currently hiring a contract team member on behalf of our client. They’re expanding their team to meet growing needs, making this a unique opportunity to work with an industry leader.

Position Overview
  • We are seeking a proactive and customer-focused Workplace Services Representative to support day-to-day workplace operations while delivering an exceptional employee and visitor experience. This role serves as a key point of contact for office services, administrative support, and workplace coordination activities.
  • Beginning December 1, 2026, the position will evolve from a primarily receptionist-focused role into a broader administrative support function supporting the Global Mobility, Real Estate, and Workplace Services teams. While front-desk coverage will remain an important component of the position, the successful candidate will take on expanded responsibilities involving coordination, vendor management, workplace operations, and project support.

Key Responsibilities
  • Serve as the first point of contact for visitors, employees, contractors, and vendors, ensuring a professional and welcoming experience.
  • Answer, screen, and direct incoming telephone calls.
  • Coordinate visitor management processes and maintain visitor records.
  • Create and issue photo identification badges and upload employee photos into Workday.
  • Process nameplate requests and maintain employee location information in Workday.
  • Manage parking assignments and workplace access card administration.
  • Review, submit, and track Workplace Services invoices.
  • Create, monitor, and resolve ServiceNow tickets and work orders.
  • Support daily operations through email correspondence, SharePoint, eLink, ServiceNow, and other workplace systems.
  • Coordinate with vendors and service providers to support office operations.
  • Act as a liaison for office moves, seating changes, additions, and workplace reconfigurations.
  • Assist with meeting room bookings, catering requests, office supply orders, and other administrative tasks.
  • Provide backup support and cross-functional coverage for Workplace Services team members.
  • Participate in workplace initiatives and special projects, including facility improvements, health and safety programs, sustainability efforts, and operational enhancements.
  • Draft and distribute routine communications and workplace-related updates.
  • Support records management activities and act as a liaison for document storage and retrieval services.
  • Review and process business card requests and other employee service requests.
  • Perform gatekeeper responsibilities by screening visitors and callers, maintaining workplace security, and protecting confidential information.
  • Handle sensitive, urgent, or challenging situations with professionalism, discretion, and sound judgment.
  • Perform additional administrative and operational duties as assigned.
Qualifications:
  • High school diploma or equivalent required; post-secondary education in business administration or a related field is an asset.
  • 1 to 3 years of experience in office administration, reception, customer service, or a related environment.
  • Strong customer service mindset with a commitment to delivering a positive employee and visitor experience.
  • Excellent interpersonal, relationship-building, and communication skills.
  • Ability to manage multiple priorities and adapt to changing business needs.
  • Strong organizational skills with exceptional attention to detail.
  • Demonstrated problem-solving and critical-thinking abilities.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and Teams.
  • Experience working with workplace systems such as Workday, ServiceNow, or SharePoint is considered an asset.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
  • Self-motivated, resourceful, and capable of working independently with minimal supervision.
  • Professional telephone etiquette and strong written and verbal communication skills.
