Carolina Health Care United, LLC is seeking an Administrative Assistant to support office staff and coordinate between clinical teams, clients, caregivers and external partners. You will handle calls, scheduling, documentation, and communications to keep the agency compliant and running smoothly, while ensuring clients and families feel supported throughout care.

The ideal candidate is highly organized with strong written and verbal communication skills and a friendly demeanor.

Qualifications

  • High school diploma/GED required; administrative training preferred.
  • 1–2 years administrative or clerical experience, preferably in home health, hospice, or medical office setting.
  • Working knowledge of HIPAA regulations and client confidentiality standards.
  • Familiarity with standard office equipment (printers, fax).
  • Excellent computer skills; proficient with Word/Docs, email, slides; comfortable learning EHR software.
  • Strong organizational, multitasking, and written/verbal communication skills.

Responsibilities

  • Answer incoming phone calls and route inquiries from clients, families, referral sources, and staff.
  • Schedule and coordinate appointments, clinician visits, caregiver assignments, and adjust for last-minute changes.
  • Support billing functions: verify Medicaid/insurance info, prepare invoices, track payments.
  • Assist with credentialing and onboarding paperwork for new hires.
  • Prepare reports, meeting minutes, and other correspondence as needed.
  • Order and manage office supplies and equipment inventory.
  • Maintain and update records in the agency's EHR system.
  • Support survey readiness with audit-ready files.
  • Maintain organized client and employee filing system per state, federal, and HIPAA requirements.
  • Develop, update, and maintain office procedures (incoming/outgoing docs, intake paperwork, physician orders, Medicaid docs).
