Job Description
McCloskey Mechanical Contractors, Inc. is looking for anAdministrative Assistant for the HVAC Service Department.
The following are requirements and daily tasks that will beperformed by the right candidate:
- Mustbe able to multi-task, with little direction, set priorities, and bedetail-oriented and self-motivated.
- Supportthe Service Manager with data compilation reporting, Excel spreadsheetsand statistical information.
- Haveexperience with Microsoft Office
- Maintainbusiness continuity and flow of scheduled work.
- Write,edit, and proofread correspondence and documents.
- Worksas a team member on projects, assignments, and tasks.
- Workwith Contractors and Project Managers.
- Workwith Government Liaisons.
- Haveexceptional ability to problem solve and make decisions independently andprioritize work flow.
- Remaincalm and courteous when dealing with difficult situations involvingcustomers and employees, solving issues, concerns and difficultsituations.
Requirements
- Applyingfor Permits and Scheduling Final Inspections; experience is a plus.
- GovernmentContract fulfillment and bidding process; experience is a plus.
- Demonstrateprofessional and interpersonal relationship skills.
- Reportto National Service Operations Coordinator.
- Schedulingand Dispatching of Service Technicians using the Foundation data base.
- Creatingwork orders, and working with Company Software for dispatching, creatinginvoices, etc.
- Demonstratestrong customer service problem solving skills and decision-making.
- Demonstrateskills showing initiative, personal responsibility, and accountability.
- Strongworking knowledge of managing two-way communications.
- Abilityto handle multiple tasks simultaneously and maintain composure underpressure in a fast-paced environment while meeting deadlines.
- Demonstratespeed and accuracy in the completion of tasks.
