Administrative Assistant - Orlando, FL

Excelon Associates is conducting a search on behalf of a private university client for an Executive Administrative Assistant. This role provides vital support to the organization by assisting the President of the client's Florida operations with a wide range of tasks, including scheduling, communication, and office management. The Assistant transcribes and compiles complex documents, correspondence, and reports, working both independently and with a supervisor to set up and revise forms and reports.

Responsibilities include proofreading documents for accuracy, editing for correctness, and facilitating the completion of documents by contacting the originator to address any problems or questions. The role also develops new operator and machine/desktop publishing applications, tests software for routine and special projects, and provides appropriate documentation of departmental procedures.

Essential Duties and Responsibilities
  • Operate diverse applications to generate documents, correspondence, commitments, policies, endorsements, binders, letters, and memos
  • Use moderate to advanced equipment capabilities to produce and revise complicated documents, such as more involved policies, binders, and other legal documents
  • Prepare management reports and special projects as requested
  • Proofread and edit own work
  • Perform general secretarial duties, which may include assembling policies and accompanying documents for copying
  • Answer the telephone and take and deliver messages to other departments
  • Communicate with supervisors, operators, and users to resolve specific problems or questions regarding documents
  • Provide information and editorial assistance to management
  • Support supervisors and other administrative staff
  • Perform daily operations reports
  • Coordinate travel, meetings, and calendars for the supervisor's internal and external constituents, including preparing agendas
  • Coordinate travel arrangements while demonstrating good judgment to plan and accomplish goals
  • Maintain office records in compliance with record management policies
  • Provide confidential administrative support
  • Perform duties using independent judgment and initiative
  • Prepare correspondence, distribution lists, and other documents as requested, including faxing, photocopying, and mailing
Minimum Requirements
  • Associate degree from an accredited institution
  • Two years of previous experience in an administrative assistant role, preferably in a higher education or college environment
  • Considerable knowledge of office administration and experience working with management
  • Demonstrated ability to be detail-oriented, adaptable, and proactive, with a strong sense of initiative
  • Flexibility with schedules, including travel to different campus locations
  • Proficient knowledge of Excel and Google Sheets, including VLOOKUP, Pivot Tables, Macros, Formulas, and Functions
