What We're Looking For
The ideal candidate is someone who is extremely organized, responsible, detail-oriented, adaptable, and comfortable taking ownership of projects.
You should be able to manage several projects simultaneously without needing constant supervision or reminders. Because this is a growing and evolving position, the successful candidate must also be comfortable adapting to changing priorities and taking on new responsibilities when needed.
Required Qualifications
- Minimum of 3+ years of professional experience in administration, operations, logistics, bookkeeping, event coordination, executive assistance, or a related role.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Ability to manage multiple projects, priorities, and deadlines simultaneously.
- Strong written and verbal communication skills.
- Experience working with expenses, invoices, payments, receipts, and financial documentation.
- Proficiency with Microsoft Excel and/or Google Sheets.
- Ability to create and maintain spreadsheets, checklists, schedules, reports, and organized records.
- Strong problem-solving and follow-through skills.
- Ability to work independently and take ownership of assigned responsibilities.
- Comfortable communicating professionally with vendors, venues, employees, and business partners.
- Willingness to assist hands-on with trade show packing, preparation, and logistics.
- Ability to work collaboratively across multiple departments.
- Flexibility and willingness to take on additional responsibilities and special projects as business needs evolve.
Preferred Qualifications
- Previous experience coordinating trade shows, conferences, corporate events, or similar events.
- Experience with bookkeeping, expense tracking, or financial administration.
- Experience coordinating freight, shipments, inventory, or event logistics.
- Experience supporting senior management or business owners.
- Experience working in a fast-paced small or growing business environment.
