We are partnering with a law firm that is seeking a detail-oriented, highly organized Administrative Assistant. In this role, you will partner closely with senior support staff and legal teams to drive document preparation, maintain institutional records, and manage pre- and post-board meeting logistics. The ideal candidate thrives in a fast-paced, deadline-driven environment, possesses exceptional document control skills, and takes a proactive, hands-on approach to keeping projects on track.
Key Responsibilities
- Board & Meeting Logistics: Build, review, assemble, and distribute physical and digital meeting packets; track action items and prepare documentation for execution following meetings.
- Document Quality Control: Edit, proofread, format, and apply track changes across formal reports, correspondence, and legal instruments to ensure flawless presentation.
- Records & File Administration: Maintain custom directories, organizational charts, transcripts, and archival files regarding client accounts, municipal entities, land transactions, and elections.
- Research & Information Gathering: Analyze historical records, extract key data points, and draft routine summaries and correspondence for team review.
- Workflow & Stakeholder Coordination: Manage daily priorities across multiple concurrent projects, schedule calls, and interface directly with clients, external consultants, and internal staff.
- Field Execution & Notarization: Perform occasional local travel to client locations to gather official signatures and notarize documentation.
Qualifications
- Education & Experience: Associate degree required; 3 years of full-time administrative, legal, or project support experience in a professional office setting.
- Credentials: Active Texas Notary Public commission (or willingness to obtain immediately upon hire).
- Technical & Editorial Skills: High proficiency in Microsoft Office (Word, Excel, Outlook); experience with document comparison tools (such as Workshare) and strong redlining/proofreading skills are preferred.
- Communication & Execution: Exceptional written and verbal communication, sharp attention to grammatical detail, and a proven ability to prioritize multi-layered, deadline-sensitive workloads independently.
