Job summary

LIFT Community Action Agency, Inc. is seeking a Payroll Clerk to ensure accurate and timely payroll processing on an established schedule.   • Knowledge of payroll laws, including FLSA and tax regulations.
  • Proficiency with software and data entry.
  • Ability to maintain confidentiality and handle sensitive information.
  • Communication skills for assisting employees.

Responsibilities

  • Collect, review, and verify timesheets for accuracy.
  • Enter work hours into software, compute wages including overtime and paid leave.
  • Calculate taxes, deductions, garnishments, and other withholdings.
  • Work with Human Resources and Fiscal Officer on entering and maintaining employee records.
  • Issue paychecks, direct deposits, and pay statements.
  • Prepare payroll reports as required.
  • Resolve payroll discrepancies and answer employee questions.
  • Balance and reconcile period-end payroll reports.
  • Maintain records of leave balances.
  • Submit retirement withholdings, and maintain retirement census records.
  • Process payroll taxes, W-2 forms, 1095 forms, and employee verifications.
  • Sales tax reporting.
  • Perform moderately complex accounting tasks, research and resolve problems related to transactions handled by accounting.
  • Perform other duties as may be assigned.

JOB SUMMARY:


The Payroll Clerk ensures employees are paid correctly and on an established payroll schedule. They handle sensitive financial and personal data, work closely with HR and Accounting, and maintain compliance with federal, state, and local wage regulations.


DUTIES AND RESPONSIBILITIES:



  1. Collect, review, and verify timesheets for accuracy

  2. Enter work hours into software, compute wages including overtime, and paid leave

  3. Calculate taxes, benefit deductions, garnishments, and other withholdings

  4. Work with Human Resources and Fiscal Officer on entering and maintaining employee records

  5. Issue paychecks, direct deposits, and pay statements

  6. Prepare and submit payroll-based reports as required

  7. Resolve payroll discrepancies and answer employee questions

  8. Balance and reconcile period-end payroll reports

  9. Maintain records of leave balances

  10. Submit retirement withholdings, and maintain retirement CENSUS records

SUPERVISORY RELATIONSHIP:


The Payroll Clerk reports directly to the Fiscal Officer and supervises no other employees.


MENTAL AND PHYSICAL DEMANDS/ENVIRONMENTAL FACTORS:



  1. Constantly must be able to sit/stand in a stationary position 50% of the time.

  2. Frequently must be able to move about inside the office to access file cabinets, office machinery, etc.

  3. Frequently must operate a computer and other office productive machinery, such as a calculator, copy machine, and computer printer.

  4. Frequently must communicate with staff and the public who have inquiries about LIFT CAA and Employment. Must be able to provide and discuss accurate information in these situations with the ability to maintain emotional control under stress.

  5. Occasionally must move/carry items weighing up to 30 pounds or more.

  6. Simultaneously managing multiple projects and tasks.
