The Undergraduate Medical Education ( UME ) Coordinator provides advanced administrative and operational support for undergraduate medical education programs within the Department of Medicine, with primary responsibility for coordinating activities associated with the Inpatient Medicine Core Clerkship and related student educational initiatives. The position serves as a central point of contact for medical students, faculty, residency programs, School of Medicine administration, and statewide campus partners to facilitate the efficient delivery of educational programs and ensure compliance with institutional and School of Medicine policies and procedures.
The position coordinates scheduling, course logistics, educational activities, examinations, meetings, communications, and student support services; maintains educational records and databases; tracks evaluations, attendance, grades, and required documentation; prepares reports and data summaries; and manages educational platforms and shared resources. The coordinator provides advanced administrative support to course directors and educational leadership by organizing meetings, disseminating communications, supporting accreditation and reporting activities, and assisting with special projects and continuous improvement initiatives. Success in this role requires strong organizational skills, attention to detail, customer service, sound judgment, and the ability to manage multiple priorities while maintaining effective working relationships with internal and external stakeholders.
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Demonstrated ability to coordinate complex schedules, projects, and multiple stakeholders while managing competing priorities in a fast-paced environment.
Strong organizational, analytical, and problem-solving skills, with the ability to interpret and apply institutional policies, procedures, and guidelines accurately and consistently.
Excellent written and verbal communication skills, with a proven ability to provide high-quality customer service and build effective working relationships with students, faculty, staff, and external partners.
Proficiency in Microsoft Office applications, particularly Outlook, Excel, Word, and Teams, including experience managing data, reports, calendars, and electronic records.
Experience using educational, database, or enterprise systems (such as Canvas, One45, Panopto, or similar platforms) and demonstrated ability to quickly learn and adapt to new technology-based applications and processes.
