Job summary

Utah Valley University seeks an Administrative Assistant to join the Student Success Center. You will create a welcoming, organized environment for students, faculty, and staff while supporting programs that foster academic achievement.

You will supervise student employees, coordinate events, manage reports and communications, and assist with front-office operations to connect students with essential resources and promote success across campus.

Qualifications

  • Graduation from high school or equivalent credential with four years of administrative experience.
  • Experience in event planning is preferred.
  • Strong knowledge of office methods, procedures, and communications.
  • Ability to maintain confidentiality of sensitive information and manage multiple stakeholders.

Responsibilities

  • Performs advanced, confidential administrative support including correspondence, meeting minutes, and handling information per policies.
  • Supervises student employees: hiring, onboarding, scheduling, training, and performance management; manages front desk operations and work-study compliance.
  • Prepares and submits reports, manages department finances, timecards, requisitions, and budget reconciliation; oversees expenditures.
  • Maintains inventory of office supplies and equipment; orders when needed.
  • Performs other duties as assigned.

Job description

This position offers the opportunity to make a meaningful impact on student success by serving as a key resource within Utah Valley University’s Student Success Center. As the Administrative Assistant, you will play an essential role in creating a welcoming and organized environment for students, faculty, and staff while supporting initiatives that help students achieve their academic goals. Through coordinating events, facilitating communication, and providing operational support, you will contribute directly to programs and services that enhance the student experience and foster academic achievement.

  • Performs advanced and confidential administrative support duties, including composing routine correspondence, meeting minutes, financials, and obtaining factual information requiring knowledge of policies/procedures of both assigned and work-related areas.
  • Manages a team of student administrative support, including hiring, firing, training, onboarding, and performance management. Coordinates scheduling to cover front of office walk-in traffic, deliveries, etc. Directs the work of the student administrative team to ensure department administrative objectives are met, and administrative operations are efficient and effective. Manages, monitors, and tracks compliance with federal work-study regulations.
  • Coordinates the preparation and submission of reports, publications, and newsletters. Coordinates department financial activities including timecards, ePAF's, ESAF's, new hire paperwork completion & submission, requisitions, purchase orders, travel, index tracking and reconciliation, budget balances, etc. Oversees ordering, receiving, billing, distributing, monitoring, and reconciling expenditures.
  • Maintains inventory of office equipment and supplies. Reorders supplies when needed.
  • Performs other miscellaneous duties as assigned.

Graduation from high school or possession of an equivalent credential, plus four (4) years of administrative experience performing related duties and responsibilities.

Preferred Qualifications:
  • An associate's degree in business administration or other related field.
  • Experience in event planning.
Knowledge
  • Knowledge of best practices in events, marketing communications, correspondence, and appropriate matters of etiquette in various settings.
Skills
  • Skills in office methods, techniques, practices, and procedures.
  • Skills in the use of computers and computer software applications including word processing, spreadsheets, email, internet, databases, and presentations.
  • Skills in the preparation and interpretation of reports, charts, graphs, and tables.

  • Exceptional customer service orientation and phone etiquette.
  • Communicate effectively, verbally and in writing.
