Job summary

The Chronicle Of Higher Education, Inc. is seeking a Student Services Assistant I to support Utah Valley University at the Main Campus in Orem.

You will guide prospective and current students through admissions requirements, residency classifications, and university resources, creating a positive first impression of the university. You will help administer student information and training, ensuring timely, accurate assistance while collaborating with departments to enhance the student experience

Qualifications

  • Knowledge of college admission policy and procedures.
  • Knowledge of best practices for handling a large volume of documents.
  • Knowledge of Utah residency requirements.
  • Knowledge of FERPA.

Responsibilities

  • Serve as a primary point of contact for prospective and current students, advising on admissions requirements and residency rules.
  • Organize, maintain, and audit student records in Banner to ensure accuracy and integrity.
  • Assist in developing and delivering training programs for the customer service team on admissions policies and system use.
  • Collaborate with other departments to coordinate services and support admissions-related events.
  • Assist and contribute to Admissions projects as needed.

As a Student ServicesAssistant I, you will serve as a trusted resource for prospectiveand current students, providing guidance on admissionsrequirements, residency classifications, academic policies, andavailable university resources. Through your interactions, you willhelp students navigate important enrollment processes and create apositive first impression of the university.

This position offers the opportunity to develop expertise in highereducation administration while contributing to a student-centeredteam committed to exceptional service. In addition to advisingstudents on undergraduate and graduate admissions processes, youwill support the ongoing development of customer service teammembers and help ensure students receive accurate, timely, andprofessional assistance. Summary of Responsibilities
  • Serve as a primary point of contact for prospective and currentstudents, providing accurate and timely information aboutadmissions requirements for undergraduate and graduate programs.Advise students on Utah residency requirements to ensure compliancewith state guidelines and university policies. Guide studentsthrough the application process, including assistance with requireddocuments, deadlines, and troubleshooting common issues. Addressinquiries via phone, email, and in-person interactions, ensuringhigh levels of customer service and professionalism.
  • Organize, maintain, and update student records, files, anddatabases in the Student Information System Banner to ensure dataaccuracy and integrity. Regularly audit and review records toidentify discrepancies and implement corrective actions asneeded.
  • Assist in the development and delivery of ongoing trainingprograms for the customer service team, focusing on admissionspolicies, system use, and effective communication techniques. Actas a resource for customer service team members, addressingquestions and providing mentorship as needed.
  • Collaborate with other departments to coordinate services andenhance the student experience. Provide logistical andadministrative support for admissions-related events andactivities.
  • Assists and contributes to a variety of Admissions projects asneeded.
Qualifications / Licenses / Certifications

Graduation from an accredited institution with a bachelor's degreerelated to the Summary of Duties or any combination of educationand/or experience totaling four years is required.

For example:

  • Bachelor's degree in a related field.
  • OR an associate degree (2 years) + 2 years of related workexperience.
  • OR 4 years of directly related work experience.
  • OR some college coursework combined with related experiencetotaling 4 years.

Knowledge
  • Knowledge of college admission policy andprocedures.
  • Knowledge of best practices for handling a large volume ofdocuments.
  • Knowledge of Utah residency requirements.
  • Knowledge of Family Education Rights and Privacy Act(FERPA).
Skills
  • Skill in effective communication, public speaking, andrapport-building.
  • Skilled with computer software applications, including Banner,CRM, Microsoft Teams, Jira, etc.
  • Skill in interpersonal communication, problem solving, anddecision making.
  • Skill in procedures and office equipment related to the needsof the department.
Abilities
  • Ability to troubleshoot problems with the student informationsystem.
  • Ability to work with a wide range of confidentialissues.
  • Ability to meet and communicate with the public.
  • Ability to follow oral and written instructions.
