Job summary

Abbott is seeking an Administrative Assistant II to provide high-level support to one or more Divisional Vice Presidents in the Lake Bluff, IL area. The role is onsite within CHR Corporate Human Resources, handling phones, calendars, travel, expense reporting, and document preparation.

Responsibilities include coordinating meetings, training the team, and maintaining files in support of corporate and regulatory requirements.

Qualifications

  • High School diploma or equivalent; some college preferred.
  • 1 year of administrative experience.
  • Proficiency with Microsoft Office, Adobe Acrobat, Visio or OrgPlus, and Lotus Notes or Outlook.

  • Scheduling travel.
  • Managing correspondence and scheduling couriers.
  • Processing expense reports.
  • Meeting/event planning.
  • Creating or modifying business documents.
  • Preparing presentations from source materials.

  • Liaising for remote access issues.
  • May include tracking budget expenditures.
  • Coordinating and maintaining departmental files in compliance with regulations.
  • Following purchasing and requisition procedures and corporate guidelines.
  • Ordering business cards and stationery.
  • Using Microsoft Office Suite and other business software.
  • Coordinating new employee office setups and onboarding.
  • May train/coordinate work for new administrative assistants.

The Opportunity

This position works out of our Lake Bluff, IL location in the CHR Corporate Human Resouces. This is an onsite position.

As the administrative assistant II, you will provide advanced administrative support to one or more Divisional Vice Presidents and other managers/directors as assigned. May provide backup support to higher-level management as needed.

What You’ll Work On

Responsibilities include all administrative functions of the department:

  • Answering phones.
  • Calendar management.
  • Scheduling travel.
  • Managing correspondence and scheduling couriers.
  • Processing expense reports.
  • Meeting/event planning.
  • Creating or modifying business documents.
  • Preparing presentations from source materials.
  • Handling teleconference and BlackBerry setups.
  • Acting as a liaison for remote access issues.
  • May include some support for tracking budget expenditures.
  • Coordinates and maintains departmental files, as assigned, in compliance with corporate and government regulations.
  • Follows purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, and Copy Center procedures (if applicable).
  • Orders business cards and stationery.
  • Uses basic to intermediate software skills to perform work assigned.
  • Uses and understands Microsoft Office Suite and other business specific software, including the Corporate Travel Web site, and employee performance management systems (as applicable).
  • Coordinates new employee office setups and on-boarding.
  • May train/coordinate work for new administrative assistants

Required Qualifications

  • High School diploma or equivalent. Some college preferred.
  • 1 year of previous admin experience or equivalent.
  • Operates with general instruction and some supervision.
  • Basic to intermediate knowledge of Microsoft Office Suite, Adobe Acrobat, Visio or OrgPlus, and Lotus Notes or Outlook.

Preferred Qualifications

  • Advanced knowledge of Microsoft Office Suite, Microsoft Teams, Adobe Acrobat, Visio or OrgPlus, and Outlook required. Microsoft Power Apps knowledge preferred.
