Job summary

Focus:

• Manage customer invoicing for ongoing projects, ensuring billing aligns with contractual agreements, completed work, and established payment schedules.
• Partner with project teams to confirm billable activity, track contract adjustments, and maintain accurate financial records throughout the project lifecycle.
• Oversee outstanding receivables, coordinate collection efforts, investigate payment discrepancies, and maintain accurate customer account balances.
• Organize billing documentation, maintain project financial records, and support specialized invoicing requirements when applicable.
• Assist with accounting reconciliations, monthly reporting, and the preparation of information used to monitor project financial performance.
• Help transition accounting activities from an external bookkeeping provider to internal operations, establishing consistent procedures and reliable controls.
• Participate in accounting software improvements, including system implementation, data organization, workflow testing, and process documentation.

Skill Set:

• 3+ years of experience in accounts receivable, project billing, or a related accounting function.
• Strong working knowledge of customer invoicing, collections, payment application, account reconciliations, and general accounting procedures.
• Proficiency in Microsoft Excel and accounting software, with the ability to learn new financial systems.
• Excellent organizational skills, accuracy, and the ability to prioritize multiple responsibilities while meeting deadlines.
• Strong communication and interpersonal skills, with experience coordinating with Project Managers, customers, and cross-functional teams.
• Self-directed approach to problem-solving, with the confidence to work independently and help establish accounting procedures in a changing environment.
• Experience with project-based accounting, construction billing practices, retainage, or accounting system implementations is a plus.
