Job summary

Spyglass Talent Solutions is assisting a Durham, NC client in finding an Accounts Receivable Specialist to own the full invoicing and collections cycle on construction projects. The role reports to the Controller and requires precision, customer service mindset, and strong accounting basics.

Responsibilities include invoicing, AIA documents submission, change order processing, cash application, collections, and collaboration with project managers.

Qualifications

• Associate’s degree in accounting or 1–2 years in A/R or related accounting role.
• Construction billing and AIA document experience preferred.
• Proficiency in Microsoft Excel and Microsoft 365 apps.
• Familiarity with QuickBooks, SAP, NetSuite or similar.
• Strong numerical aptitude and attention to detail.
• Ability to handle sensitive financial information with confidentiality.

• Prepare and submit AIA documents for monthly invoicing (G702/G703).
• Track and process customer change orders accurately and promptly.
• Record and apply incoming payments via checks, ACH, and other methods.

• Investigate and resolve payment discrepancies or disputes.
• Maintain customer records, lien waivers, and job files; stay audit-ready.
• Coordinate with project managers on billing adjustments and invoices.
• Prepare A/R aging reports and assist cash flow forecasting.
• Support revenue recognition and month-end close activities.
• Cross-train with Accounts Payable Specialist for continuity.

Spyglass Talent Solutions, a retained recruitment firm, has been engaged by a confidential client to conduct a search for an Accounts Receivable Specialist.

Our client is a growing, locally owned and operated commercial General Contractor specializing in upfits, renovations, and new construction. Based in Durham, North Carolina, the company primarily works within the Triangle region on projects ranging in size from $500K - $10M.

Our client is looking for a detail-oriented Accounts Receivable Specialist to own the full invoicing and collections cycle across their construction projects - someone who brings both technical precision and a customer service mindset to everything they do.

The Accounts Receivable Specialist will manage the billing cycle from invoicing through final payment collection, navigating the complexities of construction billing with accuracy and professionalism. This role reports directly to the Controller.

Key Responsibilities:

• Generate and issue customer invoices based on contracts, sales orders, or billing schedules.
• Prepare and submit AIA documents for monthly invoicing (G702/G703) and singular invoices for smaller projects.
• Track and process customer change orders accurately and promptly.
• Record and apply incoming payments via check, ACH and other payment methods.
• Monitor customer account balances and follow up on past-due accounts to ensure timely collections.
• Investigate and resolve payment discrepancies or customer disputes.
• Maintain accurate customer records, credit information, lien waivers, and job files in the accounting system; ensure all documentation is current, organized, and audit-ready.
• Coordinate with project managers on billing adjustments, updates, and outstanding invoices.
• Prepare A/R aging reports and assist with cash flow forecasting.
• Support revenue recognition processes and month-end close activities.
• Cross-train with the Accounts Payable Specialist to provide support and ensure continuity of accounting operations.

Skills & Experience:

• Associate’s degree in accounting OR 1–2 years of experience in accounts receivable, accounts payable, or a related accounting role; construction billing and AIA document experience preferred.
• Proficiency in Microsoft Excel and Microsoft 365 applications (Outlook, Word, Teams, and SharePoint).
• Familiarity with accounting software (QuickBooks, SAP, NetSuite, or similar) preferred.
• Knowledge of lien waiver requirements, retainage, and construction payment processes preferred.
• Strong numerical aptitude, data entry accuracy, and attention to detail; excellent organizational and time management skills with the ability to manage multiple accounts and competing deadlines.
• Ability to handle sensitive financial information with confidentiality; comfortable working in a fast-paced environment with minimal supervision.
