Blue Mantis Receivable Operations Specialist

Blue Mantis is seeking a Receivable Operations Specialist responsible for invoicing and managing collections for outstanding accounts. This role involves ensuring contracted coverage and inventory of services are maintained and accurately invoiced on a scheduled and recurring basis. Additional responsibilities include contacting customers to collect overdue payments and maintaining accurate records of all collection activities.

Key Responsibilities
  • Invoice recurring contract services (primarily Managed and Cloud Services) and time and materials labor with complete accuracy.
  • Support internal and external requests regarding contracted coverage information such as devices and quantities of services and technologies under agreement.
  • Communicate timely and set proper expectations with all stakeholders.
  • Contact customers to collect overdue payments.
  • Maintain accurate records of all collection activities.
  • Analyze customer accounts to identify overdue balances.
  • Prepare and send out invoices and account statements.
  • Identify and escalate high-risk accounts to management.
  • Conduct credit checks on new and existing customers.
  • Handle customer inquiries and disputes professionally.
Additional Job Responsibilities
  • Create ad-hoc reports and participate in special projects to support overall financial operations.
  • Collaborate with various departments on contract renewals and billing requirements.
  • Interact with Sales teams to clarify invoices.
  • Focus on customer satisfaction and find creative solutions to customer requests.
  • Provide miscellaneous financial services support as needed.
Skills, Knowledge & Expertise
  • Resolve billing and payment discrepancies.
  • Send out invoices and account statements.
  • Work independently and as part of a team.
  • Proficiency in Microsoft Office, especially Excel.
  • Minimum two years' experience in roles like Billing Analyst or Accounts Receivable.
  • Four-year degree or equivalent experience.
  • Familiarity with Managed, Cloud, and Professional Services concepts, including recurring revenue.
  • Experience with IT Service Management platforms, NetSuite, and Salesforce preferred.
  • Excellent communication skills and ability to interact across organizational levels.
  • Strong organizational skills and attention to detail.
  • Self-starter capable of managing time in a virtual environment.
