Job Summary:

At Quick Quack Car Wash, we are continually looking for ways to improve and innovate our processes to work smarter and faster. We’re looking for a team-focused Accounts Payable Supervisor who, under the leadership of the Senior Accounts Payable Leader, can harness the innovative abilities of our AP team and help elevate our processes to the next level. The Accounts Payable Supervisor will be responsible foroverseeing the Accounts Payable function, ensuringaccurateandtimelyprocessing of all vendor invoices, employee expense reports, and payment disbursements. This role supervises and develops the AP team,enforces internal controls, and partners cross-functionally with Procurement, Treasury, and the broader Accounting and Financeorganizationto support business operations and financial reporting.

Essential Duties and Responsibilities:

• Oversees the Accounts Payable function, including vendor relations and decisions regarding the day-to-day processing of invoices and payments.
• Supervises, coaches, and develops the team of AP Specialists, including but not limited to role functions, workflow and time management, setting clear performance goals, providing continuous feedback, and completing all required performance management actions.
• Reviews and approves vendor invoices and employee expense reports for proper coding and compliance with company policies.
• Manages paymentruncycles, ensuring all payments (checks, ACH, wire, and credit card) are executed accurately and on schedule.
• Owns the AP sub-ledger and ensurestimelyandaccurateclose of AP at month-end.
• Prepares monthly and quarterly AP accruals, including invoice, credit card, and other accruals as needed.
• Provides supporting documentation and explanations required for external audits or other business needs.
• Provides backup coverage for all AP Specialist duties.
• Transitions vendors to ACH payments across the organization.
• Supports the stale-dated check and escheatment processes.
• Ensures vendor statements are reconciled monthly and variances are researched and corrected in a timely manner.
• Oversees and manages internal controls within the AP function.
• Proposes and supports new internal policies and processes to increase productivity and efficiency, including improvements that leverage AI and automation.
• Provides timely and consistent communication and insight to all departments.
• Serves as the escalation point for vendor and internal inquiries, resolving invoice, payment, and account issues promptly and professionally.
• Supports the 1099 process, including review of vendor documentation and timely submission of annual filings.
• Leads or supports AP software implementations, upgrades, automation tool deployments, and broader departmental projects as assigned.

Qualifications and Requirements:

• 5+ years of accounts payable experience, including at least two years in a supervisory role.
• At least two years of recent, hands-on experience with Coupa required, with fluency in the Procurement & Invoicing, InvoiceSmash, Supplier Information Risk Management (SIM), Spend Guard, Smart Intake & Orchestration, Payments, and Expenses modules strongly preferred.
• Proficiency with ERP systems required; experience with Acumatica preferred.
• Experience using AI tools such as Claude preferred.
• Advanced Excel skills; comfortable with large data sets, pivot tables, lookup formulas, and reconciliations.
• Solid understanding of accounting principles and GAAP, including accrual accounting and month-end close.
• Demonstrated ability to supervise a team and manage competing priorities in a fast-paced environment, producing high-quality work that is timely and accurate.
• Bachelor’s degree in Accounting, Business Administration, or related field preferred.
• Excellent written and verbal communication skills, with the ability to build positive working relationships with internal and external business partners.
• Ability to remain seated and work at a computer workstation for extended periods of time.
