Job summary

Quick Quack Car Wash is seeking an Accounts Payable Analyst to support our AP team under the Senior AP Leader. You will process vendor invoices, employee expense reports, and payments, coordinating with Procurement, Treasury and Finance to ensure accurate reporting.

This role emphasizes internal controls, timely month-end close, AP accruals, audits support, and opportunities to implement AI and automation to boost productivity and efficiency.

Qualifications

• Minimum 4 years in accounts payable.
• Hands-on Coupa experience required; familiarity with related modules preferred.
• ERP experience; Acumatica preferred.
• Experience with AI tools like Claude preferred.
• Advanced Excel; large data sets, pivots, lookups, and reconciliations.
• Strong knowledge of GAAP and accrual accounting.
• Able to manage competing priorities in a fast-paced environment.

Responsibilities

• Proposes and supports new internal policies to boost productivity, including AI/automation.
• Supports the 1099 process and annual filings.
• Leads or supports AP software implementations and broader automation projects.

Job Summary:

At Quick Quack Car Wash, we are continually looking for ways to improve and innovate our processes to work smarter and faster. We're looking for a team-focused Accounts Payable Analyst who, under the leadership of the Senior Accounts Payable Leader, can harness the innovative abilities of our AP team and help elevate our processes to the next level. The Accounts Payable Analyst will be responsible for supporting the Accounts Payable function, ensuring accurate and timely processing of vendor invoices, employee expense reports, and payment disbursements. This AP role partners cross-functionally with Procurement, Treasury, and the broader Accounting and Finance organization to support business operations and financial reporting.

Essential Duties and Responsibilities:

• Supports the Accounts Payable function, including the day-to-day processing of invoices and payments, application of internal controls, and vendor relations.
• Reviews and approves vendor invoices and employee expense reports for proper coding and compliance with company policies.
• Collaborates with the Senior AP Leader on the timely and accurate close of AP at month-end.
• Prepares monthly and quarterly AP accruals, including invoice, credit card, and other accruals as needed.
• Provides supporting documentation and explanations required for external audits or other business needs.
• Provides backup coverage for all AP Specialist duties.
• Transitions vendors to ACH payments across the organization.
• Supports the stale-dated check and escheatment processes.
• Ensures vendor statements are reconciled monthly and variances are researched and corrected in a timely manner.
• Proposes and supports new internal policies and processes to increase productivity and efficiency, including improvements that leverage AI and automation.
• Supports the 1099 process, including review of vendor documentation and timely submission of annual filings.
• Leads or supports AP software implementations, upgrades, automation tool deployments, and broader departmental projects as assigned.

Qualifications and Requirements:

• 4+ years of accounts payable experience.
• At least two years of recent, hands-on experience with Coupa required with fluency in Procurement & Invoicing, InvoiceSmash, Supplier Information Risk Management (SIM), Spend Guard, Smart Intake & Orchestration, Payments, and Expenses modules preferred.
• Proficiency with ERP systems required; experience with Acumatica preferred.
• Experience using AI tools such as Claude preferred.
• Advanced Excel skills; comfortable with large data sets, pivot tables, lookup formulas, and reconciliations.
• Understanding of accounting principles and GAAP, including accrual accounting and month-end close.
• Demonstrated ability to manage competing priorities in a fast-paced environment, producing high-quality work that is timely and accurate.
• Excellent written and verbal communication skills, with the ability to build positive working relationships with internal and external business partners.
• Ability to remain seated and work at a computer workstation for extended periods of time.
