Job summary

Alchemy is seeking an Accounts Payable Specialist to own daily AP activities, coding invoices, ensuring timely payments, and supporting vendor relationships. You'll work with Zip, NetSuite, and Ramp to maintain accurate records and efficient procure-to-pay processes.

Reporting to Procurement, you will help strengthen processes, troubleshoot issues, and identify opportunities for automation while upholding accuracy and compliance across all AP tasks.

Qualifications

• 2–4 years of accounts payable or similar role.
• Curiosity to improve processes and workflows.
• Strong understanding of invoice coding, POs, payment terms, reconciliations, and accruals.
• Experience with accounting or ERP systems and ability to learn new P2P, payment, and AI tools.
• Advanced Excel/Google Sheets skills (lookups, pivots, data reconciliation).
• Attention to detail, sound judgment, and deadline discipline.
• Clear, practical communication and collaborative vendor relations.

Responsibilities

• Manage AP inbox and process invoices promptly; act as primary vendor contact.
• Code, classify, and enter vendor invoices in Zip and NetSuite with proper approvals.
• Prepare payment batches; monitor deadlines and follow up on approvals.
• Onboard vendors and maintain accurate vendor records (tax forms, banking).
• Investigate invoice discrepancies, duplicates, and payment issues; escalate when needed.
• Review employee expenses in Ramp for accurate coding and compliance.
• Reconcile AP with GL and support month-end close.
