Accountants One, Inc. is partnering with a well-established Atlanta company to recruit an Accounts Payable Specialist. You will handle vendor invoices for multiple affiliated entities, ensure proper approvals and GL coding, and manage weekly payment runs.

This fast-paced role requires meticulous organization and strong communication with vendors. The ideal candidate has 3-5 years of full-cycle AP experience, comfort in multi-entity environments, and proficiency in Excel and ERP systems.

Qualifications

• 3-5 years of full-cycle Accounts Payable experience preferred.
• Experience working in a multi-company or multi-entity environment strongly preferred.
• Proficiency in Microsoft Office, particularly Excel.
• Experience with ERP or accounting software preferred.
• Strong organizational skills with exceptional attention to detail.
• Ability to prioritize multiple deadlines while maintaining a high level of accuracy.
• Excellent verbal and written communication skills.

Responsibilities

• Process vendor invoices accurately and on time across multiple affiliated entities.
• Review invoices for proper approvals, supporting documentation, and general ledger coding.
• Prepare and process weekly check runs, ACH payments, wire transfers, and direct debit transactions.
• Reconcile vendor statements and research invoice discrepancies.
• Process company credit card transactions, reconciliations, and payments.
• Maintain vendor records, including W-9 documentation and payment information.
• Communicate professionally with vendors regarding payment status and account inquiries.
• Monitor vendor credits and ensure they are applied appropriately.
• Review outstanding checks, research aged items, and process voids or reissues as needed.
• Maintain organized electronic records of invoices and supporting documentation.
• Assist with general accounting data entry and account reconciliations.
• Support month-end close by ensuring invoices are recorded in the appropriate accounting period.
• Assist with annual audits by providing accounts payable documentation.
• Perform additional accounting and administrative duties as assigned.
