Job summary

Gensler in Oakland seeks a Firmwide Accounts Payable Specialist to deliver accurate, timely AP processing for vendors and employees. You will code invoices in Coupa, handle payroll, tax, and bank transactions, and support audits. This role requires detail-oriented, collaborative work across offices.

You will work five days a week from the Oakland office, partnering with teams to ensure compliant, efficient financial operations and timely reporting.

Qualifications

• 3+ years of related accounts payable experience.
• Bachelor’s degree in Finance, Accounting, or related field preferred; or substantial AP experience.
• Experience in high-volume AP environments and end-to-end AP processes.
• Hands-on experience with Coupa and Deltek Vantagepoint preferred.
• Strong project-based accounting knowledge and multi-currency is a plus.
• Attention to detail with strong analytical and problem-solving abilities.

Responsibilities

• Review, code, and process vendor invoices in Coupa with accurate GL coding and approvals.
• Record payroll, taxes, and automated bank transactions timely.
• Ensure GAAP compliance and support audits.
• Communicate with leadership and manage confidential transactions.
• Perform monthly AP reconciliations and resolve discrepancies.
• Prepare reports for regional AP teams and lead monthly AP calls.
• Manage full-cycle AP including month-end and year-end close.
• Prepare Form 1099s and maintain AP policies and controls.
