Vivo Infusion is seeking a detail-oriented and experienced Accounts Payable Specialist to join our collaborative and dynamic Accounting team. The individual in the position will possess the ability to process invoices and payments in a timely fashion, matching of purchasing and receiving documents, proper invoice coding to the general ledger expense accounts, timely and accurate payments that make full use of available discounts, and proper filing and storage of records.
Compensation
- $24.00 - 26.00 / hour

Reports To: Accounting Supervisor
Location: Hybrid Schedule, reporting to Vivo Infusion Corporate Office 3 days/week.

Primary Responsibilities
- Process invoices from vendors and check requests from clinics
- Acquiring proper approval on invoices from coordinator or directors
- Organize and match purchase orders or packing slips for medication supplies to invoices prior to payment
- Correspond with vendors and respond to inquiries
- Review vendor statements, research, and resolve past due invoices and credits
- Call vendors for invoices, change of address, invoice discrepancies
- Post and cut checks from the accounting system weekly
- Process wire transfers and ACH payments and notification to vendors
- Upload checks into JPMorgan system and resolve positive pay issues
- Reconcile and resolve issues with AP sub-ledger to the general ledger
- Ensure overhead invoices are approved before keying into the accounting system
- Assist in month end closing
- Weekly invoice filings
- Knowledge of 1099 forms
- Ensure 1099 forms are on file for all vendors
- Prepare 1096 and 1099 forms each year and mail to the IRS and vendors
- Work with the GL team and operations to resolve AP issues
- Maintain vendor relationships
- Work with operations to complete vendor applications and credit references
- Process employee expense reimbursements and uphold the employee travel policy
- Assist the Controller in managing the external audit
- Train backup for key responsibilities so duties are covered while on vacation
- Perform other duties as assigned

Job Qualifications
- Associates, BS or BA degree in Accounting Preferred.
- 1-3 years prior A/P, Administrative or other Accounting Experience preferred.
- Intermediate Microsoft Word, Excel, Outlook and Explorer Experience.
- Familiarity with the Healthcare industry is a plus.
- Must be familiar with accounting software such as QuickBooks, Intacct, NetSuite.
- Preferred familiarity with Stampli, Sage Intact, and Bill.com.
- Must possess a high level of attention to detail and high level of accuracy.
- Ability to participate in and contributed during group meetings.
- Works under moderate supervision.

This role requires infrequent travel, local and domestic, less than 5% of the time. Travel is primarily by auto and plane.
