Job summary

Custom Design Company (CDC) is seeking a dependable AP Specialist to handle day-to-day accounts payable, job costing, vendor account management, invoice processing, and related accounting support in a fast-paced, small-business setting.

The ideal candidate will have strong accounting skills, experience with Spruce ERP and Excel, and a minimum of 3 years AP experience. Associate/Bachelor preferred but not required; on-site position in Central Florida.

Qualifications

Responsibilities

• Receive, code, and enter vendor invoices into the system.
• Match invoices to POs, receipts, and docs; ensure accuracy.
• Prepare invoices for payment and assist with weekly processing.
• Reconcile vendor statements with company records.
• Investigate invoice discrepancies, pricing, and credits.
• Communicate payment status and issues with vendors.
• Process and reconcile company credit card and purchasing activity.
• Maintain organized AP records and vendor files.
• Run weekly job costing cycles with deadlines.
• Review installer invoices and pay sheets; link to correct job/lot.
• Load installer billing into Spruce ERP and ensure correct ties.
• Verify invoices are not duplicate, correct price, and within margin.
• Prepare checks for approval and signing.
• Scan and distribute completed packets; onboard installers.

By managing the full process—from buying through installation, punch work, and warranty—CDC provides builders with a single point of accountability and a delivery schedule aligned with build calendars. Role Description

Custom Design Company is seeking a dependable, organized, and detail-oriented Accounts Payable Specialist to join our team. This position is responsible for day-to-day accounts payable functions, job costing, vendor account management, invoice processing, and related accounting and administrative support.

The ideal candidate is comfortable working in a fast-paced small-business environment, understands the importance of accurate cost allocation, and can research discrepancies and follow issues through to resolution.

Key Responsibilities

• Receive, review, code, and enter vendor invoices into the accounting system
• Match invoices to purchase orders, receipts, and supporting documentation
• Prepare invoices for payment and assist with weekly payment processing
• Review vendor statements and reconcile accounts to company records
• Research and resolve invoice, pricing, payment, credit, and receiving discrepancies
• Communicate with vendors regarding outstanding invoices, account questions, credits, and payment status
• Process and reconcile company credit cards and purchasing account activities
• Maintain accurate and organized AP records and vendor files
• Run a weekly job costing cycle with firm deadlines, from invoice intake through payment
• Receive and review installer invoices and pay sheets, including builder-specific formats
• Research jobs using installation tickets, schedules, and ERP (Spruce) records
• Load installer billing into our ERP (Spruce) and tie each charge to the correct job and lot
• Verify each invoice line: not already paid, correct price, correct lot, matched to the right ticket, and within margin
• Prepare installer checks for approval and signing
• Scan, file, and distribute completed packets
• Onboard new installers and maintain the installer audit workbook
• Track installer insurance (general liability and workers' comp, including exemptions) and hold payment when coverage lapses
• Prepare year-end installer deliverables, including audit support

Qualifications

• Strong accounting skills, including familiarity with accounts payable processes and basic accounting principles.
• Well-developed analytical skills to review invoices, identify discrepancies, and resolve issues efficiently.
• Experience with accounting or ERP software (Spruce) and Excel skills.
• High attention to detail, strong organizational skills, and the ability to manage multiple deadlines.
• Effective written and verbal communication skills for collaborating with vendors and internal stakeholders.
• Minimum of 3 years accounts payable experience REQUIRED
• Associate's or bachelor's degree in accounting or a related field preferred, but not required
