Randstad USA represents an established commercial litigation law firm and seeks a detail-driven Accounts Payable Specialist for a long-term career opportunity. You will manage end-to-end accounts payable, cost recovery, and financial reconciliation across active litigation matters.

Responsibilities include full-cycle AP, client costs recovery, disbursements and checks, credit card reconciliations, and billing in Coyote Analytics or related software, with emphasis on accuracy and audit readiness.

Qualifications

• Full-cycle accounts payable processing and coding with accuracy.
• Ability to capture and bill litigation expenses down to the penny.
• Maintain vendor accounts and reconcile monthly statements.

Responsibilities

• Full-Cycle Accounts Payable: Review, code, and process all firm expenses and invoices.
• Litigation Expense Recovery & Client Costs: code and bill advanced expenses including PACER, filing fees, and court costs.
• Disbursements & Client Checks: prepare and distribute trust and expense disbursements and vendor payments.
• Credit Card & Expense Reconciliation: reconcile monthly credit card accounts against receipts and GL codes.
• Legal Billing & Accounting Software: manage entries and reporting in Coyote Analytics or equivalent.
• Vendor & Inquiry Management: handle vendor inquiries, reviews, and 1099 tracking.
• Audit & Data Entry Integrity: maintain audit-ready records for all transactions.

Working directly with firm leadership, you will manage end-to-end accounts payable, cost recovery, and financial reconciliation. This desk requires a strong foundation in business litigation accounting. You will oversee client cost disbursements down to the penny, maintain accurate vendor accounts, and ensure smooth, timely financial operations across active litigation matters. Responsibilities

• Full-Cycle Accounts Payable: Review, code, and process all firm operational expenses and vendor invoices with strict accuracy.
• Litigation Expense Recovery & Client Costs: Accurately capture, code, and bill all advanced client litigation expenses down to the penny, including:
  • PACER court research and electronic filing fees.
  • Secretary of State search and corporate filing fees.
  • Process server invoices, court reporter bills, deposition transcripts, and expert witness retainers.
• Disbursements & Client Checks: Prepare, cut, and distribute client trust and expense disbursements, vendor payments, and filing fee checks in adherence to firm billing cycles and trust accounting standards.
• Credit Card & Expense Reconciliation: Reconcile monthly firm credit card accounts (Mastercard) against receipts, matter numbers, and general ledger codes.
• Legal Billing & Accounting Software: Manage entries, adjustments, and reporting in Coyote Analytics (or related legal billing systems).
• Vendor & Inquiry Management: Serve as the primary point of contact for vendor billing inquiries, statement reviews, and 1099 tracking.
• Audit & Data Entry Integrity: Maintain strict, audit-ready digital and physical records for all transactions, cost allocations, and firm checks.
