Job summary

RR Donnelley is seeking an Accounts Payable/Expense Associate for its Downtown Wheeling, WV office. The role handles all aspects of cash payments and ensures timely processing of payables in line with guidelines. First shift, Monday–Friday, 8:00 am–5:00 pm.

The position requires 1–2 years of related financial experience, proficiency in MS Office, and ability to maintain confidentiality while supporting client relationships. Strong attention to detail and effective communication are essential.

Qualifications

• High school diploma or equivalent required; Associate Degree or advanced degree preferred.
• 1-2 years of related financial experience in a professional service organization; legal, banking or large corporate environment experience preferred.
• Prior knowledge of financial systems (Aderant Expert, Chrome River, Elite, Concur or similar) preferred.
• Must be proficient in MS Office and spreadsheet software.
• Proven customer service skills to maintain client relationships.
• Excellent organizational skills; ability to manage multiple assignments.
• Ability to maintain confidentiality of sensitive materials and documents.
• Strong written and verbal communication; ability to work under deadlines.

Responsibilities

• Prepare financial reports by collecting, analyzing, and summarizing account information and trends.
• Maintain accounting ledgers by posting transactions.
• Verify accounts by reconciling statements and transactions.
• Resolve discrepancies by investigating documentation and making adjustments.
• Process payments: verify transactions, schedule disbursements, obtain payment approvals.
• Create, process, and audit expense reimbursement requests with proper documentation.
• Enter data into expense processing software and ensure approvals.
• Ensure compliance with policies; escalate concerns to supervisor.
• Setup and maintain vendor records; handle vendor maintenance.
• Perform audit functions for invoices and expenses above threshold.
• Monitor and adjust purchase orders accurately.
• Record payments and transactions; maintain necessary ledgers and spreadsheets.
• Collaborate with team to achieve related results.
