Qualifications

  • High school diploma or equivalent required; Associate degree in Accounting, Business, or a related field preferred.
  • 3 years of accounts payable, bookkeeping, or general accounting experience preferred.
  • Experience with crop agriculture, farming, agribusiness, or a related industry is a plus.
  • Experience processing invoices for multiple entities and/or locations preferred.
  • Working knowledge of basic accounting principles and general ledger coding.
  • Proficiency with Microsoft Excel and accounting/ERP software.
  • Strong attention to detail and accuracy.

Responsibilities

  • Receive, review, and process vendor invoices for multiple entities.
  • Verify invoices for accuracy, proper approvals, supporting documentation, and appropriate coding.
  • Code invoices to the correct legal entity, general ledger account, farm, location, department, and/or crop.
  • Enter invoices into the accounting/ERP system accurately and timely.
  • Match invoices to purchase orders, receiving records, contracts, or other supporting documentation when applicable.
  • Prepare and process weekly A/P payment runs, including checks and ACH payments.
  • Maintain accurate vendor records, including W-9s and payment information.
  • Reconcile vendor statements and research outstanding invoices, credits, and discrepancies.
  • Respond to vendor inquiries regarding invoices, account balances, and payment status.
  • Communicate with farm managers, purchasing, operations, and accounting personnel to resolve invoice and coding issues.
  • Complete applications for new vendors including partial tax exemptions for agricultural purchases.
  • Monitor accounts payable aging and assist with timely resolution of outstanding items.
  • Assist with intercompany transactions and reconciliations between related entities.
  • Review transactions to ensure they are recorded to the correct legal entity and accounting period.
  • Assist with month-end and year-end closing activities, including A/P accruals and reconciliations.
  • Maintain organized electronic and physical records of invoices, payments, and supporting documentation.
  • Assist with annual 1099 preparation and vendor reporting.
  • Provide A/P documentation and support.
  • Perform other duties as assigned by management.

Role Description

The Accounts Payable Clerk is responsible for accurately and efficiently processing accounts payable transactions for a crop agriculture organization with multiple entities. This position ensures invoices are properly approved, coded, recorded, reviewed, and paid; process ACH and positive paycheck runs in a timely manner while maintaining accurate vendor and accounting records.

The A/P Clerk works closely with the accounting department, operations, purchasing, management, and vendors to resolve discrepancies and ensure expenses are recorded to the appropriate entity, department, and/or crop.

Pay Range

$23.00hr-$30.00hr

ESSENTIAL DUTIES AND RESPONSIBILITIES
