Job summary

Fred Haas Toyota Country in Houston is seeking a detail-oriented Accounts Payable Clerk to join our busy accounting office. You will manage the full AP cycle, keep vendor accounts accurate, and ensure timely payments.

This role requires 1–2 years of accounts payable or related experience, familiarity with dealership DMS systems, and strong Excel skills. We value accuracy, organization, and professional vendor communication.

Qualifications

• 1–2 years of accounts payable or related accounting experience.
• Dealership DMS experience preferred.
• Working knowledge of Microsoft Excel (filters, basic formulas).
• Strong attention to detail and accuracy with numbers.
• Good organization and time management; able to meet weekly and month-end deadlines.
• Professional communication with vendors and coworkers.

Responsibilities

• Match, code and post vendor invoices to the correct GL accounts and departments (Sales, Service, Parts, Body Shop, Admin).
• Enter invoices and keep vendor records current in the DMS (Reynolds & Reynolds ERA-IGNITE).
• Prepare weekly check runs and ACH/EFT payments, and obtain approvals.
• Reconcile vendor statements, then research and fix discrepancies, credits and duplicate charges.
• Process sublet, parts and service vendor invoices and tie them to repair orders.
• Collect and keep W-9s, and help prepare 1099s at year-end.
• Answer vendor questions and department managers' questions about payment status.
• Help with month-end close, including AP schedules, accruals and reconciliations.
• File and keep AP records in line with dealership retention policies.
• Process Vehicle Payoffs, Dealer Trades and other tasks assigned.
• Take on other accounting office duties as assigned.

Fred Haas Toyota Country is a busy, high-volume Toyota dealership in Houston. We're hiring a detail-oriented Accounts Payable Clerk for our accounting office. You'll handle the full AP cycle, keep vendor accounts accurate and up to date.

Job Responsibilities

What We're Looking For

• Experience with Reynolds & Reynolds, CDK or another dealership DMS

Physical Demands

• Sit for extended periods while working at a computer
• Use a computer, keyboard, calculator, and standard office equipment for most of the workday
• Read and review documents and data on screens and paper for long periods
• Occasionally stand, walk, bend, and reach
• Occasionally lift and carry up to 10 pounds (deal jackets, file boxes, and supplies)
• Work mainly in an office setting, with occasional outdoor exposure to heat and weather during lot inventory checks
• Work in a fast-paced environment with daily and month-end deadlines
