DroneSense is expanding rapidly, and we are looking for an experienced and detail-oriented Accounting Operations Specialist to support our finance operations. You will play a vital role in our Order-to-Cash process—ensuring accurate, timely order entry, invoicing, and collections to keep our financial operations smooth. We seek someone analytical, highly organized, and comfortable in a fast-paced, collaborative environment. The ideal candidate will have a strong background in accounting operations, a customer-first approach, and proven project management skills. Your responsibilities will include managing collections on a structured schedule, generating accounts receivable reports, and providing insights to our Customer Success and Finance teams. You will also identify and implement workflow improvements in partnership with leadership. What You'll Be Doing
  • Double-check deal info between systems to ensure accuracy and alignment.
  • Enter partner purchase orders (POs) and build detailed sales transactions.
  • Create and synchronize invoices across systems.
  • Ensure customers and partners receive their invoices and follow up as needed.
  • Identify the correct Accounts Payable contacts and resend invoices when necessary.
  • Collaborate with our Account Managers to find the best customer contacts and update them on payment issues, especially before QBRs.
  • Communicate with customers via email or calls to request payments or arrange payment plans during funding delays.
  • Maintain detailed notes in our accounting tools and spreadsheets regarding invoicing and collections.
  • Prepare reports and balance sheets showing collections and outstanding amounts.
  • Keep client information current as payments are received or contact details change.
  • Work closely with teams across Accounting, Finance, Operations, and Customer Success to resolve issues and ensure smooth workflows.
What We're Looking For
  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
  • 2–3 years of practical experience in accounting, especially in order entry, invoicing, and collections.
  • Understanding of basic accounting and bookkeeping processes.
  • Excellent communication skills—written and verbal.
  • Strong attention to detail and efficient data entry skills.
  • Experience with SaaS accounting protocols is highly preferred.
  • Great listening skills and ability to track important details.
  • Problem-solving mindset with a focus on process improvement.
  • Ability to manage time and priorities independently.
  • Experience with QuickBooks Online; familiarity with Maxio (formerly SaaS Optics) is a plus.
  • Knowledge of CRMs like HubSpot or Salesforce.
  • Proficiency with Google Workspace and MacOS is helpful.
  • Skilled in Microsoft Excel; PowerPoint skills are a bonus.
  • A collaborative team player with a humble attitude—teamwork is essential.
  • Ability to interpret high-level directions and execute independently.
