DroneSense is expanding rapidly, and we’re looking for an experienced and detail-oriented Accounting Operations Specialist to help scale our finance operations. You will play a critical role in our Order-to-Cash process—ensuring timely order entry, invoicing, and collections to keep our financial operations smooth. The ideal candidate is analytical, highly organized, collaborative, and thrives in a fast-paced environment. You should have a strong background in accounting operations, a customer-first mindset, and project management skills. Your responsibilities will include managing collections, generating accounts receivable reports, and improving workflows in partnership with leadership. What You'll Be Doing
  1. Double-check deal info between systems to keep everything aligned and accurate.
  2. Enter partner purchase orders (POs) and build out detailed sales transactions.
  3. Create and sync invoices across systems.
  4. Ensure customers and partners receive their invoices—and follow up if they don’t.
  5. Track down the right Accounts Payable contact and re-send invoices when needed.
  6. Partner with our Account Managers to find the best customer contacts and keep them informed about payment issues, especially before QBRs.
  7. Reach out to customers via email or calls to request payments or arrange payment plans during budget delays.
  8. Maintain detailed notes in our accounting tools and spreadsheets on invoicing and collections.
  9. Prepare reports and balance sheets showing collections and outstanding amounts.
  10. Update client information as payments are received or contact details change.
  11. Collaborate with teams across Accounting, Finance, Ops, and Customer Success to resolve issues and ensure progress.
What We're Looking For
  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • 2–3 years of hands-on experience in accounting, especially in order entry, invoicing, and collections.
  • Solid understanding of basic accounting and bookkeeping processes.
  • Strong communication skills—written and verbal.
  • Attention to detail and accurate, efficient data entry skills.
  • Excellent listening skills to capture important information and track details.
  • Problem-solving mindset with a focus on process improvement.
  • Ability to manage time and priorities independently.
  • Experience with QuickBooks Online; familiarity with Maxio (formerly SaaS Optics) is a plus.
  • Understanding of CRMs like HubSpot or Salesforce.
  • Experience with Google Workspace and MacOS is helpful.
  • Proficiency in Microsoft Excel; PowerPoint skills are a plus.
  • Team-oriented with a collaborative, low-ego attitude.
  • Ability to follow high-level directions and execute independently.
