We are actively seeking an Accounting Data Reconciliation Specialist to join our team as a contractor. This critical role will primarily focus on remediating past-dated payroll tax filing obligations across various states, ensuring our complete compliance and data accuracy. If you thrive on complex problem-solving, can navigate diverse state payroll tax regulations, and excel in an autonomous environment, this is an exceptional opportunity.
What You'll Do:
As our Accounting Data Reconciliation Specialist, your primary focus will be on addressing and resolving historical payroll tax filing discrepancies and overdue obligations, while also supporting ongoing financial accuracy. Your core responsibilities will include:
- Lead Multi-State Payroll Tax Remediation: Spearhead the comprehensive clean-up of past-dated payroll tax filings across multiple US states, meticulously identifying, preparing, and submitting all overdue federal and state payroll tax returns (e.g., Form 941, SUI, local withholdings, etc.) and associated documentation. This will be a primary and urgent focus.
- Detailed Payroll Data Reconciliation: Perform in-depth reconciliation of payroll accounting data for our US operations, specifically focusing on wages, withholdings, and contributions relevant to historical payroll tax obligations. Identify and resolve discrepancies to ensure accuracy for filing.
- Payroll Tax Compliance & Regulations: Compare internal payroll records and tax calculations with state and federal payroll tax filings to pinpoint discrepancies and ensure strict adherence to all relevant payroll tax regulations and reporting requirements. Research and interpret evolving multi-state payroll tax guidelines as needed for compliance.
- State & Federal Agency Engagement & Access: Proactively establish and manage communication with various state tax agencies and the IRS. This includes setting up necessary logins, securing access to government portals, and collaborating with agencies to resolve past payroll tax filing issues and gain approval for submissions.
- Advanced Payroll System Utilization: Leverage expertise in both ADP and UKG (Ultimate Kronos Group) payroll systems to meticulously extract, validate, and reconcile payroll data crucial for accurate multi-state payroll tax filings. This includes verifying taxable wages, deductions, and tax calculations.
- Collaborative Financial Support: Work in close partnership with the broader finance team, sharing insights from payroll tax clean-up efforts, understanding operational processes, and providing independent, data-driven support to prevent future payroll tax discrepancies.
What You'll Bring:
We are looking for a highly organized and self-directed individual who can take immediate ownership of our payroll tax clean-up efforts. Your qualifications should include:
- Deep Payroll Tax Filing Experience: Significant and demonstrable experience in handling, reconciling, and submitting past-dated payroll tax filings across multiple US states and federally is essential. This includes familiarity with various payroll tax forms and reporting cycles.
- Expert Data Reconciliation: Proven experience in complex accounting data reconciliation, with a strong ability to identify root causes of discrepancies in payroll and tax data and implement corrective actions.
- Payroll System Proficiency: Advanced working knowledge and hands-on experience with both ADP and UKG (Ultimate Kronos Group) payroll systems, specifically as they relate to extracting, verifying, and reporting data for payroll tax purposes.
- Exceptional Autonomy: A strong track record of working independently, managing a demanding workload, prioritizing effectively, and driving projects to completion with minimal oversight.
- Superior Organizational & Analytical Skills: Meticulous attention to detail, strong analytical capabilities, and excellent organizational skills to manage large volumes of payroll and tax data and complex compliance requirements.
- Strong Communication & Negotiation: Excellent verbal and written communication skills, with the ability to clearly articulate complex issues and effectively negotiate or clarify information with state and federal tax agencies.
- Certification (Highly Preferred): A CPA (Certified Public Accountant) or an equivalent accounting certification (e.g., CPP - Certified Payroll Professional) is highly preferred, demonstrating a strong foundation in accounting principles and payroll tax regulations.
