Job Summary
We are seeking a highly organized and professional Receptionist/Administrative/Accounting Assistant to join our team. This role is essential in ensuring smooth office operations, providing exceptional customer service, and supporting administrative and accounting functions. The ideal candidate will possess strong computer skills, office management experience, and excellent communication abilities, including bilingual proficiency. Responsibilities
- Greet employees, guests, and visitors in a friendly and professional manner
- Answer, screen, and route incoming calls and emails
- Maintain front desk coverage and schedule meetings and conference rooms
- Receive, sort, and distribute mail and deliveries
- Perform data entry, filing, document preparation, and general clerical support
- Order and organize office, breakroom, and conference room supplies
- Support multiple departments as needed
- Receive, review, and process vendor invoices
- Match invoices to purchase orders and receiving documents
- Enter payables into accounting software accurately and timely
- Assist with check runs and electronic payments
- Communicate with vendors regarding invoices and payment status
- Maintain organized accounts payable records and assist with month-end tasks
- Recruit and coordinate temporary workers as needed
- Audit and reconcile temporary agency invoices
- Assist with payroll processing and timecard review
- Support employee HR, benefits, and payroll inquiries
- Maintain employee communication boards and distribute correspondence
- Assist with training coordination and safety communications
Skills
- High school diploma or equivalent required
- Associate degree in business, accounting, or human resources preferred
- 1+ year of experience in receptionist, administrative, accounting, HR, or payroll support
- Proficiency in Microsoft Office / Microsoft 365
- Bilingual English/Spanish is a plus
- Strong attention to detail and accuracy
