The ideal candidate will handle FIFO costing, multi-state tax filings, and GAAP-compliant reporting, while supporting the transition from QuickBooks Online to Microsoft Dynamics 365 Business Central.

About The Role

We are seeking an experienced and dependable Full-Charge Bookkeeper to oversee our day-to-day financial operations, inventory accounting, multi-state sales tax compliance, and month-end close.

Reporting directly to the General Manager, you will be a key financial partner in keeping our operational books clean, accurate, and audit-ready. This position offers the flexibility of mostly remote work, but candidates must be located within driving distance of Bradenton, FL for occasional in-person working sessions, inventory reviews, or strategy check-ins.

We currently operate in QuickBooks Online and will be migrating to Microsoft Dynamics 365 Business Central in the near future. The ideal candidate has deep experience with FIFO inventory costing, works comfortably within U.S. GAAP, and brings a structured approach to multi-state sales tax.

Key Responsibilities

• Inventory & Cost Accounting (FIFO):
  • Manage perpetual inventory records and calculate Cost of Goods Sold (COGS) using the FIFO (First-In, First-Out) methodology.
  • Reconcile physical inventory counts against general ledger records; log necessary shrinkage, damage, or valuation adjustments.
  • Enforce 3-way matching across purchase orders, receiving reports, and vendor bills.
• Full-Cycle Bookkeeping & GAAP Month-End Close:
  • Execute a disciplined month-end close checklist (bank/credit card reconciliations, prepaids, accruals, fixed assets, and depreciation) strictly adhering to U.S. GAAP.
  • Manage AP/AR workflows and partner with the General Manager to monitor weekly cash flow.
  • Produce and deliver monthly financial reporting packages (P&L, Balance Sheet, Cash Flow Statement) alongside variance notes for management review.
• Multi-State Sales Tax Compliance:
  • Track state economic nexus thresholds across all active sales channels.
  • Reconcile, prepare, and file recurring monthly/quarterly multi-state sales and use tax returns accurately and on time.
  • Collect and maintain valid customer resale and tax-exemption certificates.
• Systems & ERP Implementation:
  • Maintain clean, organized data inside QuickBooks Online.
  • Assist the General Manager and implementation partners with chart of accounts mapping, data migration cleanup, and system testing during our upcoming transition to Microsoft Dynamics 365 Business Central.

Qualifications & Requirements

• Location Requirement: Reside within commuting distance of Bradenton, FL (Manatee or Sarasota County) and be available for occasional in-person meetings.
• Experience: 4–6+ years of full-charge bookkeeping or accounting experience, specifically within an inventory-based environment (wholesale, distribution, retail, or e-commerce).
• Inventory & Accounting Mastery: Demonstrated expertise with FIFO inventory valuation, landed cost allocation, and standard accrual-basis GAAP.
• Software Experience:
  • Advanced proficiency in QuickBooks Online.
  • Exposure to, or strong aptitude for learning and transitioning to, Microsoft Dynamics 365 Business Central (or comparable mid-market ERPs).
  • Hands-on experience filing multi-state sales taxes (via state DOR portals or platforms like TaxJar/Avalara).
  • Experience with PEO platforms (especially Justworks) is a strong plus.
• Technical Skills: High proficiency in Microsoft Excel (Pivot Tables, XLOOKUP, SUMIFS, multi-tab reconciliations).
• Education & Credentials: Associate or Bachelor’s degree in Accounting, Finance, or Business preferred; Certified Bookkeeper (CB) or QuickBooks ProAdvisor certification is a plus.
