Job Description

The Academic Support Assistant, at the Connell School of Nursing, is one of three full-time employees that provide administrative support to our CSON Faculty, full and part-time. The position performs a wide range of skilled administrative duties for the tenure track and professors of the practice as well as adjunct clinical faculty as needed. These responsibilities directly support their teaching and research. Responsibilities include providing support for technology platforms (Canvas, Examsoft, Docusign, MS Suite, Adobe, Google Suite, BC specific technologies, etc.), preparing materials course work, making copies, composing and editing letters, proof-reading papers and course materials, scheduling meetings with advisees and taking minutes at meetings as needed. This position prioritizes multiple tasks in a competing environment.

Essential Functions include:
  • Provides wide ranges of support for faculty including typing, composing and editing letters, memoranda, reports, lecture/course materials, and presentations.
  • Uses multiple technical applications including MS Office Suite, Google Suite, database management, spreadsheets, graphics and presentation software, electronic calendar, email, and other academic applications (Canvas, Examsoft, etc..)
  • Assist with the hiring process of part-time adjunct faculty.
  • Assists with orientation and onboarding for new full-time and part-time faculty.
  • Manages complex calendars, arranges for meetings and appointments for faculty; takes minutes as needed at department or faculty meetings.
  • Greet and assist faculty, students, and employees in a professional manner.
  • Answers and routes phone calls, e-mail messages and manages a wide-range of information dissemination.
  • Triage student needs, Answer questions. Refer students to appropriate department/personnel (Associate Dean of Student Services; Associate Dean of Academics and Faculty) Other duties as assigned.
Special Projects

Exam Period:Assist withbuilding exams in ExamSoft; Proof & Copy Exams; Collect and account forfinal paper and assignment submissions; Create formulas in Excel sheets forgrading; proctor exams as needed.

Assist professors with advising students, email all students and faculty their advisingassignments.Send materials to assist with advising.Create feedback survey for faculty and students

Annual Updateof Adjunct Handbook & Academic & Student Services forms

Appointments Committee

Prepare numerous materials of candidate for faculty.Reserve meeting rooms.Use scheduling software to gather & create facultyavailability for setting meeting times

Hiring Range: $22.69/hr to $28.35/hr. Pay rate commensurate with relevant experience.

Education/Experience: Bachelor's degree preferred.

2 years of increasingly responsible administrative experience preferably in an academic setting; strong interpersonal and organizational skills with attention to detail and accuracy; excellent oral and written communications skills including effective phone communication skills; accurate typing skills; proficiency in technology, including MS Suite, Google Suite; exceptional proofreading; strong attention to detail; a commitment to accuracy; and very adept at handling multiple tasks and working well within deadlines. Also requires good judgment, discretion in handling confidential materials, ability to work independently without close supervision, and flexibility to work beyond the regular hours of the workday when necessary.
