Job summary

POLI MEDICAL COMPANY PTE. LTD. is seeking a Warehouse Administrator to support daily warehouse administration, inventory control, and documentation within our Singapore operations.

You will leverage ERP/WMS systems to ensure accurate records and smooth production materials flow. Responsibilities include processing receipts and orders, coordinating material receiving, verifying goods against purchase orders, and maintaining meticulous inventory records.

Qualifications

• Diploma or equivalent in Logistics, Supply Chain, Warehouse Management, Business Administration or related field.
• 1–3 years of warehouse or manufacturing experience preferred.
• Experience with WMS systems is an advantage.
• Good knowledge of inventory control and warehouse documentation.
• Proficient in Microsoft Office, particularly Excel.
• Good communication and coordination skills.
• Detail-oriented with good record-keeping and organisational skills.

Responsibilities

• Perform daily warehouse administrative and documentation duties.
• Process and maintain Goods Receipt Notes, Delivery Orders, stock transfer records and other warehouse documents.
• Update and maintain accurate inventory transactions in the company's ERP/WMS system.
• Coordinate the receiving of raw materials, components, packaging materials and finished goods.
• Verify incoming goods against purchase orders and delivery documents.
• Prepare and document materials issued to the production dept.
• Monitor inventory levels and ensure sufficient materials are available for production.
• Conduct regular stock counts and reconcile physical inventory against system records.
• Investigate and report inventory discrepancies, damaged goods and stock variances.
• Maintain proper identification, labelling, storage locations and traceability of inventory.
• Coordinate with Production and Planning teams on material requirements and production schedules.
• Coordinate with Purchasing and suppliers regarding deliveries and discrepancies.
• Support finished goods receiving, storage and dispatch activities.
• Prepare daily, weekly and monthly warehouse/inventory reports.
• Maintain proper filing and documentation for audit and traceability purposes.
• Support ISO, 5S, safety and other company compliance requirements.
• Ensure warehouse transactions and procedures comply with company SOPs.
• Perform other warehouse-related administrative duties as assigned.
