Qualifications

• Minimum 1 year of experience in warehouse, logistics, inventory or retail operations.
• Strong understanding of inventory management and stock control.
• Comfortable handling and moving cartons and products.
• Able to work in a fast-paced, hands-on environment.
• Good organisational and time-management skills.
• Excellent communication with suppliers, drivers, team members and management.
• Class 3 or 3A driving licence with good driving track records.

From our vending machine platforms to Hypha Provisions Flagship Store , our curated self-serve retail concept, we work with local brands to create new channels for product discovery and sales.

As we continue to grow, we are looking for a hands-on and responsible Warehouse & Logistics Assistant Manager to oversee our warehouse inventory and ensure our vending machines and retail locations are consistently well-stocked.

About the Role

The Warehouse & Logistics Assistant Manager will be responsible for the day-to-day management of warehouse inventory, stock preparation and vending machine replenishment .

You will ensure that products are properly received, stored, tracked and prepared for delivery. You will also coordinate and carry out replenishment of our vending machines and retail locations, ensuring the right products are delivered to the right locations at the right time.

This is a hands-on operational role that requires someone who is organised, physically active, detail-oriented and able to work independently.

Key Responsibilities

Warehouse Management

• Oversee the day-to-day operations of the warehouse.
• Receive, check and organise incoming products from brand partners and suppliers.
• Ensure products are stored properly according to product requirements, including chilled and ambient products.
• Maintain accurate inventory records and stock movement.
• Conduct regular stock counts and inventory checks.
• Monitor stock levels, expiry dates and product conditions.
• Identify slow-moving, damaged, missing or near-expiry stock and escalates accordingly.
• Maintain a clean, organised and safe warehouse environment.
• Ensure proper FIFO / FEFO stock rotation where applicable.
• Coordinate stock returns, transfers and disposal when required.

Vending Machine Replenishment

• Plan and carry out regular replenishment of Hypha vending machines and retail locations.
• Prepare and pick products according to replenishment requirements.
• Ensure the correct quantity and SKU are delivered to each location.
• Restock vending machines neatly and according to merchandising guidelines.
• Check product condition, packaging and expiry dates during replenishment.
• Monitor machine stock levels and identify products that require more frequent replenishment.
• Report machine stock issues, damaged products or operational problems to the relevant team.
• Maintain accurate records of replenishment and stock movement.

Inventory & Stock Planning

• Monitor inventory levels across the warehouse, vending machines and retail locations.
• Maintain accurate stock-in and stock-out records.
• Work with the operations and management team to forecast replenishment requirements.
• Highlight low-stock items and potential stock shortages early.
• Assist with purchasing and stock ordering based on sales and inventory requirements.
• Analyse basic stock movement and sales data to improve replenishment planning.
• Minimise stock wastage, expiry and unnecessary inventory holding.

Logistics Coordination

• Plan daily delivery and replenishment routes efficiently.
• Coordinate with drivers and logistics team members on delivery schedules.
• Ensure products are loaded, transported and handled properly.
• Coordinate collection and return of products when required.
• Maintain delivery and replenishment records.
• Assist with logistics planning for new vending machine launches, events and new retail locations.
• Ensure timely delivery of products to all assigned locations.

Team Coordination

• Coordinate and supervise warehouse and replenishment staff when required.
• Assign daily warehouse and replenishment tasks.
• Ensure team members follow proper stock handling and replenishment procedures.
• Train new team members on warehouse, inventory and replenishment processes.
• Monitor work quality and ensure operational tasks are completed on time.Work closely with the operations, retail and management teams to resolve issues.

Requirements

• Minimum 1 years of experience in warehouse, logistics, inventory or retail operations.
• Good understanding of inventory management and stock control.
• Comfortable handling and moving cartons and products.
• Able to work in a fast-paced and hands-on environment.
• Strong organisational and time-management skills.
• Detail-oriented with good follow-through.
• Comfortable working independently and taking ownership of tasks.
• Basic computer and spreadsheet skills.
