Job description

Responsibilities
  • Organize and arrange meetings (internal and external) and ensure logistics run smoothly;
  • Maintain office records and handle expense reimbursements/claims and to liaise with Finance to ensure correct payment of expense claims of the management team
  • Assist as necessary with monthly reports for local management team
  • Manage the purchasing and inventory of office stationery supplies;
  • Manage and maintain office equipment maintenance contracts;
  • Maintain and coordinate board, conference and meeting rooms' booking
  • Responsible for all the expense claims pertaining to the above H&W and Social Activities.
  • Responsible for the distribution of awards/vouchers for site recognitions
  • Provides administrative support to the Unit Managers and team, including screening and redirecting calls when necessary, gathering information as appropriate, coordinating the signage of documents
  • Managing calendars and scheduling meetings, making appropriate travel arrangements, facilitating expense reimbursements, managing incoming invoices, and filing documents as appropriate
  • Assist with creating and distributing of minutes, action logs and presentations preparation
  • To coordinate on Jurong Island pass application and request visitor access card or site sponsorship for visitors, suppliers and new hires.
  • Ensure all documentations are in compliance with ISO standard and company regulations
  • Ensure good working condition of Office & Pantry Equipment
  • Responsible for ordering and maintaining good level of beverages for site consumption.
  • Manage the ordering and inventory of office and business supplies
  • Support in lunch orders for visitors during external audits or hosting meetings on site.
Requirements
  • Previous office admin management experience of least 2 years.
  • Graduate/Diploma holder
  • Positive attitude, approachable team player
