Job summary

ESFIRA PTE LTD is seeking a shipping coordinator cum buyer to manage end-to-end shipping, coordinate with carriers and internal teams to ensure timely delivery, and maintain accurate documentation.

The role requires strong negotiation, attention to detail, and the ability to coordinate multiple tasks efficiently. Diploma holder with 2–4 years of experience in shipping is preferred; English and Chinese proficiency is required. 5 Day Work Week; 13th month bonus available.

The shipping coordinator cum buyer is responsible for managing the end-to-end shipping process, coordinating with carriers and internal teams, ensuring timely delivery of goods, maintaining accurate documentation, and supporting daily operational activities of the trading business. This role requires strong negotiation skills, attention to detail, and the ability to coordinate multiple tasks efficiently.

JOB RESPONSIBILITIES:

• Sourcing and purchasing
• Request quotations, negotiate terms, and finalize purchase orders.
• Maintain supplier relationships and handle routine communication for order status.
• Maintain procurement records, price lists, and approved supplier lists.
• Arrange shipment schedules—air, sea, or land—based on delivery deadlines.
• Coordinate with freight forwarders, shipping agents, and transport companies.
• Track incoming shipments and provide status updates to internal teams.
• Ensure timely customs clearance by coordinating necessary documents.
• Handle logistics inquiries, delays, and shipment issues promptly.
• Prepare and review shipping documents such as:
• Commercial Invoice, Packing List, Bill of Lading/AWB, COO, Insurance documents, HS Codes, etc.
• Ensure compliance with import/export regulations and company policies.
• Verify accuracy of documentation from suppliers and freight partners.
• General Administrative Support

JOB REQUIREMENTS:

• * Minimally a Diploma Holder
• * Strong negotiation skills and able to source for products
• * Ability to trouble shoot
• * Minimum 2–4 years of experience in shipping or coordination, preferably in a trading company
• * Approachable personality with excellent interpersonal skills
• * Good communication skills & good command of English & proficiency in Chinese (in order to handle queries, feedbacks and concerns from Chinese speaking associates in regards with the shipments matters)

Salary will commensurate with experience & relevant skill
