Job summary

Recruit Express Pte Ltd is seeking a documentation specialist to review and reconcile credit and security records, retrieve and organise documents for legal review, and maintain inventories and trackers across the loan lifecycle.

The role requires coordinating with Legal, Relationship Managers and external solicitors, ensuring timely sign-offs, registrations and amendments to security interests, and addressing post-migration discrepancies with rigorous attention to detail.

Responsibilities

• Review and reconcile existing credit and security documents against banking and collateral system records.
• Retrieve, scan and organise credit and security documents for legal review.
• Maintain account inventories, documentation trackers and records of affected securities.
• Identify documentation gaps, missing originals, expired documents and outstanding security registrations.
• Prepare novation letters, deeds of assignment, supplemental letters of offer and other credit documentation using approved templates.
• Liaise with Legal, Relationship Managers, Credit teams, external solicitors and other stakeholders to facilitate documentation execution.
• Coordinate customer signing arrangements and verify authorised signatories, board resolutions and document execution requirements.
• Follow up on outstanding signatures and ensure documents are completed within agreed turnaround times.
• Coordinate the registration and amendment of security interests, including ACRA charges, property mortgages and other securities.
• Update collateral systems and document repositories, ensuring accurate records, proper indexing and safekeeping of original documents.
• Identify and rectify post‑migration documentation discrepancies, deficiencies and outstanding items until full closure.
• Maintain rectification trackers, monitor outstanding items and provide progress updates to management.
• Attend to audit, compliance, risk and regulatory queries relating to credit documentation.
• Perform other duties related to the credit documentation migration exercise as required.
