Job summary

IPS Securex Pte Ltd is seeking a detail-oriented Sales Order Administrator in Singapore. You will manage orders, verify payments, coordinate stock, and ensure accurate customer records.

Responsibilities include invoicing, shipping documentation, and supporting the sales team with quotations. You will liaise with warehouse and finance to ensure on-time delivery and billing, while maintaining orderly records.

Responsibilities

• Manage sales order processing based on work orders and ensure accuracy in pricing and product details.
• Verify customer's payment or credit status or obtain credit authorization from management.
• Verify order details and contact customers if necessary.
• Check stock availability, raise purchase requisition where necessary and coordinate stock replenishment.
• System set up and data entry for new customers and suppliers; ensure customer records are accurate and up to date.
• Ensure proper housekeeping and filing of documents and records.
• Liaise with warehouse and ensure timely delivery to customers sites.
• Prepare shipping documents and arrange shipment for export sales where applicable.
• Prepare and submit invoices for timely billing.
• Support sales team with enquiries and assist with sales quotations for standard items.
• Handle enquiries either through phone or emails.
• Participate in internal audit and quarterly stock take.
