Job summary

PATENT INVESTMENT PTE LTD in Singapore is seeking a Property Operations Manager to oversee tenant requests, service providers, and maintenance schedules. You will manage tenancy agreements, rental and expense tracking, and support administrative tasks to ensure smooth property management.

You will coordinate with contractors and agents, organize maintenance activities, and ensure accurate invoicing and records across multiple properties, contributing to financial accuracy and tenant satisfaction.

Qualifications

• Experience coordinating tenant requests and service providers to ensure timely service delivery.
• Ability to manage multiple leasing and maintenance tasks with attention to detail.
• Strong communication and documentation skills for tenancy records.

Responsibilities

• Resolve tenant requests, feedback, and ad hoc issues promptly to maintain tenant satisfaction
• Manage all tenancy agreements for new and existing tenants
• Coordinate with service providers, contractors, and property agents to ensure timely services
• Organize quarterly and bi-monthly maintenance activities including AC servicing, lift maintenance, electrical license renewal, and water tank cleaning
• Maintain and update a master property maintenance schedule for all managed properties
• Update and manage rental schedules for properties to ensure accurate records
• Monitor and track receivables (rentals) and payables (expenses) for the property company to support financial accuracy
• Compile receivables and payables data and submit to the accountant for processing
• Prepare and verify tenants’ monthly invoices to ensure billing accuracy
• Manage communication with tenants and service providers through emails, WhatsApp, phone calls, and meetings to facilitate effective coordination
• Organize and file emails, bills, and related documents daily, weekly, and monthly to maintain orderly records
• Prepare new and renewal tenancy agreements to support leasing activities
• Handle ad hoc administrative tasks such as renewing workers’ work permits and road tax renewals to ensure compliance
